Our customer is a national insurance company and they are growing here in Tampa Bay. They are adding a Receptionist and Office Assistant to their team to assist in all front office operations. The Receptionist will coordinate and oversee administrative duties ensuring the lobby and facility operates efficiently and smoothly.
Location: Onsite in Tampa - 33634
Hours: 9am to 4pm, Monday to Friday
Duties and Responsibilities:
Perform reception duties such as greet visitors, monitoring entry, receive and direct incoming calls, take messages
Receive, sort, and deliver incoming mail/packages/deliveries. Post outgoing mail, prepare packages for overnight carriers
Log and deposit incoming checks for Finance
Maintain office and break room supplies, place orders as needed. Put deliveries away
Organize events for large groups including venue, food, gifts, contract review, insurance certificates and payment
Create mass mailings using mail merge or other applicable programs, stuff envelopes and arrange for shipment
Set up phones for new hires and coordinate building access
Purchase items for office supplies, technology needs and employee / client appreciation
Coordinate conference room availability; schedule meetings; maintain calendars for others
Serve as primary contact for facilities vendors (such as cleaning services) and arrange for repairs
Maintain bulletin board and required postings. Create and send company-wide communications.
Identify opportunities for process and office management improvements.
Support all departments with administrative requests or projects
High school diploma or equivalent; associate degree or certification in office administration preferred.
Experience & Educational requirements:
Minimum of two years of previous experience as a receptionist or administrative support capacity.
Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Ability to handle a high volume of phone calls and visitors.
Friendly and approachable with a customer-focused attitude.
Detail-oriented, dependable, and capable of maintaining confidentiality.
