Job Summary



This graduate student will work for IUAA's Executive Director of Outreach and Engagement, to complete key projects and tasks, in association with the Outreach and Engagement leadership team, as well as liaising between departments to complete projects as assigned.


Department-Specific Responsibilities


  • Being an essential project management support to the IUAA Executive Director of Outreach and Engagement with regard to lead partnerships on behalf of the IUAA with IU Online and IU Ventures, including leading logistics of scheduling, note taking, sending follow up communication, and completing research and progress monitoring memos and monitoring tools regarding partnership progressions, outputs, and outcomes.

  • Engages in key project preparation of research, presentation materials, pre/post communication of Outreach and Engagement Department internal strategy and progress meetings.

  • Supports the Executive Director in key file migration, guidance to Department, and standard operating procedure guidance, communication, and oversight.

  • Creates and/or propose refinements to project and administrative templates for OE Department. (e.g. Project Activity Logs, Project Activity Timelines, Event and Project Design Planning Tools.

  • With guidance from Executive Director, draft proposed standard operating procedures, protocol guidance for Outreach and Engagement Department.

  • Develops discrete and efficient resources or mini modules to support with the Department's adoption of Microsoft Planner, new file centralization structure, and use of templates in new project team structure.

  • Leads in the development and design of continuous improvement processes for formative and summative output and outcome data collection, procedure development and refinement, as well as reporting of Outreach and Engagement Department in conjunction with the IUAA Department of Strategic Initiatives, IU Advancement Marketing, and IU Foundation Annual

  • Giving and Market Segmentation Departments.

  • Supports with projects as assigned.




Qualifications



EDUCATION



Required



  • Currently enrolled as masters, graduate, or professional student at Indiana University for academic year 2024-25.


Preferred



  • Bachelor's degree in philanthropy, education, sociology, public affairs, or related field(s).

SKILLS



Required



  • Possess high organizational and time management skills

  • Professional communication experience

  • Knowledge of IU faculty and staff

  • Knowledge of IU facilities and buildings

  • Proficiency in Microsoft Office

  • Ability to balance multiple projects

  • Experience with researching topics, summarizing findings

  • Experience with interpreting, describing, and communicating about data (quantitative and qualitative)

  • Experience with designing and/or modifying data collection processes and procedures

Please Note: Some meetings will require Graduate Project Assistant to attend meetings on the Indianapolis or Bloomington campuses; however, every effort will be made to ensure full participation in daily tasks can occur remotely if not a graduate student at IU Bloomington or IU Indy.
