Job Summary

The Coordinator of Research Programs will coordinate and manage all administrative, business, research, editorial, and development activities for the Denmark Laboratory (50%) in the Department of Chemistry and for multiple faculty (50%) in the Department of Chemical and Biomolecular Engineering.



Duties & Responsibilities




Research Administration


• Coordinates the preparation and submission of research grant proposals to various granting agencies. Plan and coordinate financial and scientific reports to campus offices and federal agencies.

• Prepare, edit and submit scientific journal articles. Assist in tracking and management of manuscripts for editorial responsibilities for scholarly series.

• Manage the research resources of the laboratories, including managing all purchase requests, assisting faculty in oversight of research activities, handling all research correspondence, managing all organizational tasks relative to the research programs, overseeing monthly group progress reports, tracking productivity and scheduling of monthly meetings.

• Assist faculty in assuring compliance for all safety training and laboratory safety audits. Interface with F&S to address all maintenance issues with laboratory infrastructure (air handling, plumbing and electrical). Coordinate service and maintenance of all laboratory equipment with various manufacturers and service organizations. Coordinate specialized equipment training as needed.

• Keys, proofs, edits, prints, and copies correspondence, manuscripts, and reports using Microsoft Word, Excel, PowerPoint, and ChemDraw. Prepares letters of reference and signs documents as directed by faculty. Establishes and maintains confidential records and files for faculty. Maintains faculty's contacts and CV. Manages printing of theses, postdoctoral re-ports, internal photos, journal articles, and other printing re-quests for faculty.

• Maintain and update group websites (publications, personnel, presentations, group news) in conjunction with ATLAS



Business Administration


• Manages complex portfolio of faculty funds. Includes analysis of monthly financial statements to determine compliance with budgetary and technical requirements of the university system and granting agencies. Assist with graduate student and postdoctoral associate payroll appointments.

• Assists with faculty calendar scheduling and a large volume of complex travel arrangements and itineraries for invited lectures and conferences. Authorized to hold a university credit card for travel reservations.

• Coordinates personnel management processes for group members including undergraduate, graduate, visiting students and post docs. For new members, includes aiding with visas, hiring paperwork, and managing programmatic and equipment access. Manages records of group vacation/sick days; submits approvals by proxy. For departing members, includes referral to HR coordinator, updating contact information, obtaining and filing inventory of research materials, and scheduling final meeting with faculty.

• Coordinate postdoctoral and student travel for conferences. Submit reimbursement requests for postdoctoral researchers and students for travel and other research related expenses.



Required Qualifications


  • Bachelor's degree in business administration, management, or a field related to the position.

  • Two (2) years of professional business, financial, and/or managerial work experience. (NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)


Preferred Qualifications

  • Two years of professional level accounting, managerial and/or business experience.



  • Knowledge of database concepts and budget analysis, as well as proficiency in word processing programs, website templates, spreadsheet operation and presentation software.
  • High level of initiative and judgment, excellent communication, problem-solving and time management skills.
  • High level of accuracy and attention-to-detail.
  • Ability to work efficiently by multi-tasking with minimal supervision.
  • Excellent organizational skills.
  • Commitment to diversity and inclusion.
  • Awareness of, and sensitivity to, cultural and linguistic differences.
  • Knowledge of WordPress, Elementor, and EndNote programs.


Appointment Information


This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. The budgeted salary range for the position is $53,000 to $59,000. Hybrid work options may be available for this position after an initial on-site training period, with the ability to be on-site at the Champaign-Urbana campus as needed per the University of Illinois workplace flexibility guidelines- https://cam.illinois.edu/policies/hr-87-2/. Sponsorship for Work authorization is not available for this position.
