Accounting Assistant - School of Integrative Biology

University of Illinois at Urbana-Champaign The School of Integrative Biology in the College of Liberal Arts & Sciences are seeking to hire an Accounting Assistant that provides transaction-level support and knowledge of university policies and procedures pertaining to travel, reimbursements, and purchasing for the School of Integrative Biology.
Duties & Responsibilities
Research Travel Coordination
Guides research travelers in planning and requesting travel approval.
Reviews travel requests for completion before submission.
Meets with travelers to answer questions and pre-purchase approved travel expenses using departmental T-card.
Makes carpool reservations as needed.
Reviews travel reimbursement requests for accuracy and completeness and prepares Chrome River expense reports.
Reconciles travel expenses in Chrome River.
Employee Reimbursements and Purchasing
Assists employees with reimbursement for items purchased with personal funds.
Acts as a backup for purchasing supplies and services, including preparing purchase requisitions, tracking deliveries, and confirming payments.
Supports other staff with purchasing duties as needed.
Records Management
Downloads and generates monthly financial statements for staff review and distribution.
Maintains physical records related to financial transactions.
Organizes physical records according to departmental practices.
Prepares requests for the disposal of physical records per guideline.
Other Responsibilities
Greets office visitors and directs them to the appropriate staff member or office.
Sorts and distributes incoming US and campus mail.
Required Qualifications
1. High school diploma or equivalent.
2. Any one or combination totaling one (1) year (12 months) from the categories below:
a. Coursework in accounting, as measured by the following conversion table or its proportional equivalent:
6 semester hours equals one (1) year (12 months)
b. Coursework in any discipline as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
c. Work experience in bookkeeping, office support, or closely related experience.
Successful candidates will have:
Experience in applying accounting principles and practices.
Capable of exercising judgment and discretion, skilled in working with others, both on teams and in one-to-one relationships.
Ability to communicate well with others.
Awareness of, and sensitivity to, cultural and linguistic differences.
Commitment to diversity and inclusion.
Spreadsheet and database software experience in a business environment.
Ability to work harmoniously with a wide range of constituencies.
Appointment Information
This is a 100% full-time Civil Service 3851 - Accounting Assistant position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The entry-level salary for the Accounting Assistant classification is $38,555.40. This position is eligible for a hybrid work schedule (remote work and in-person work in Champaign-Urbana each week) after an initial on-site training period, per the University of Illinois workplace flexibility guidelines: https://cam.illinois.edu/policies/hr-87-2/. Sponsorship for work authorization is not available for this position.
