Job Description

The Office Manager for the Department of Electrical and Computer Engineering will oversee all office administrative functions in the department. Reporting to the Department Chair/Associate Chair, the Office Manager is responsible for office facilities management, budget management, office supplies, human resource management, event planning, and administrative support to the faculty and administrators in the Department of Electrical and Computer Engineering.

This is a temporary, fixed-term position with a starting date of January 13, 2025, and an anticipated end date of May 31, 2025.  This position will be four (4) days on campus and one (1) day working from home. 

Essential Duties and Responsibilities


  • Work closely with the department leadership to ensure daily office operations are smooth, effective, and efficient.

  • Act as the administrative interface to various Stevens offices and departments to ensure all requests are handled in a professional and timely manner.

  • Maintain and track office management expenses and budgets through the Kuali Financial System. Process all orders, requisitions, invoices, and payments through various accounting systems.

  • Manage Human Resource administrative processes including hiring and training (or coordinating training with respective staff), full-time faculty and staff, adjunct faculty, and student positions.

  • Act as the administrative interface externally with Stevens’ partners, sponsors and others.

  • Maintain office supplies and coordinate maintenance of office and lab equipment to meet the teaching and research needs of the department.

  • Other duties and responsibilities as assigned by the department leadership.

Qualifications

  • Required Education and Experience: Bachelor’s degree preferred or equivalent combination of education and experience. Candidates must have a minimum of 5 years of professional administrative experience, preferably in higher education. Experience working with office budgets and office organization and procedures.

  • Must be able to maintain professionalism and a positive service attitude at all times.

  • Project a professional and positive attitude to all faculty and students within the department and stakeholders who interface with the department.

  • Proficient in the use of MS Office Suite tools, strong interpersonal skills, and the ability to effectively contribute as part of a team.

  • Good judgment, tact, diplomacy, discretion, ability to juggle multiple projects with accuracy and meeting deadlines, ability to make independent decisions are essential.

  • Excellent problem-solving and follow-through skills.

  • Must be dependable, reliable, and flexible.

  • Excellent project and time management skills.

  • Must be able to work occasional evening and weekend events as needed.

  • Must maintain the confidentiality of all matters related to the office or personnel matters at all times.

  • A commitment to excellence in customer service is mandatory


  • Maintain utmost confidentiality and discretion in all things, including student records

  • Ability to plan, organize and coordinate large and small projects through to completion 

  • Ability to accept direction on assignments and work with minimum supervision, building support from colleagues where applicable
