The Information Desk Assistant is a full-time bilingual English/Spanish support staff position that reports to the Campus Services Manager. The position works primarily out of the Aurora Downtown, but also provides assistance at the Sugar Grove and Plano Campuses from time-to-time. This position has the primary responsibility of learning, maintaining, and updating information about the college in order to offer assistance to internal and external customers. This position offers front line services for information, directions and check in and the getting started process for student services.
Welcome people as they enter the campus.
Answer the College Information Center queue calls and College Information Center online chat.
Provide accurate information and direction to others who are not familiar with the college and unsure of which department or person they are seeking.
Serve as a resource person, providing prompt, friendly service, as well as information and guidance to staff and students regarding policies, procedures, events and services available.
Serve as a liaison to other areas of the college to ensure proper referrals and recommendations.At Aurora Fox Valley this includes a large amount of work with the bookstore (orders, rental returns), Student Life, Academic departments.
Sort and distribute the mail for the campus on a daily basis.
Provide Intake Services/Getting started process (through 'needs assessment') for student services.
Call prospective students (Inquiry to Needs to Register) from the CRM Software (Enrollment Calls).
Order and maintain supplies for the campus, which includes faculty workrooms and other departments.
Assist with documenting departmental scheduling changes and updating other types of departmental documentation.
Demonstrate excellent human relations, technical and trouble shooting skills.
Perform other duties as assigned.
Minimum Qualifications
High school diploma or equivalent required; additional clerical skills training preferred.
Bilingual English/Spanish required.
One year of related office experience and excellent customer service skills required.
Demonstrate excellent organizational, technical and trouble shooting skills.
Excellent phone and computer skills required.
Ability to work with multiple tasks and priority levels concurrently.
Excellent human relations skills and a proven ability to function effectively with a wide variety of people in a dynamic environment.
Ability to work evenings and occasionally weekends (for example during extended hours just before a semester start).
