Job Description



As the Receptionist/Administrative Assistant, you will provide general office support for lab operations.


  • Register client jobs, Process Lot Reports for laboratory tests and provide Lot Reports to customers

  • Process Word Documents for job final certificates and provide final certificate to customers

  • Handle daily communications via phone with customers as needed

  • Coordinate Accounts Payable and Shipping of Analytical Samples

  • Provide weekly KPI updates for client jobs.

  • Answers and directs incoming phone calls and provides follow up if needed

  • Checks in visitors, making sure they are aware of policies, view the safety video and provide any additional assistance to visitors

  • Maintain office supplies

  • Manage and order client gifts and marketing items, organize for trade shows and other events, assist in planning client and executive visits, and employee events

  • Assist with onboarding new employees including building assignments, badges and orientation

  • Maintain the site organizational chart and staff schedules

  • Coordinate registration for workshops and send follow up as needed

  • Serves as lead to other admin assistants and provides training and guidance as needed

  • Adhere to internal standards, policies, and procedures.

  • Perform other duties as assigned by supervisor




Qualifications




Education and Experience

Required:



  • High School/GED

  • Minimum two (2) years of experience (provide further detail as necessary)

  • OR equivalent combination of education and experience


Preferred:



  • Associate Degree in Office Procedures.

  • 3 years of experience in office clerical duties


Knowledge/ Skills/ Abilities



  • Microsoft Office: Work, Excel

  • Oracle is a plus

  • Language Skills: English

  • Mathematical Skills: Basic or intermediate

  • Reasoning Skills/Abilities: Intermediate to Advanced level

  • Driving skills: preferred for performing other duties.




Additional Information



In the course of employment, you will be required to travel to and/or work at a client site. The company requires employees to be vaccinated against COVID-19 in order to travel commercially and many clients require visitors performing work at their locations to be vaccinated. Therefore, this role requires a candidate who is fully vaccinated or will be prior to an anticipated start date.
