The Plant Administrator manages factory and office administrative responsibilities in the areas of training, labor reporting, purchasing, supplies inventory management, associate recognition, event planning, and community services and communication. This position is also responsible for partnering with P&O, Operations, Leadership Team, Q&FS, HSE, Flow, and S&F to provide support for administrative and coordinator duties. The Plant Administrator will work closely with the Engage & Energize team to drive engagement across the site. This role will also work directly with Leadership team members to help organize meetings, visits, tours, travel, supplies, and any amenities needs.
Maintain recognition activities for the site to include but not limited to: Health and Wellness programs and community events in line with our Mars Petcare Culture of Making a Better World for Pets (i.e. service awards, Make the Difference, site awards, activity committees, Health and Wellness programs and Mars Volunteer, etc.).
Take ownership for Engage & Energize routine activities support and organization in professional manner. Pawsitive recognition forms, Birthday cards, Holidays gifts, Pawsitive gossips, Retirements etc.
Facilitate temporary labor staffing with external agency to support requests from operational departments in conjunction with the TA organization.
Support organization of training with the E&T, CVS and/or other functions. This would include scheduling, time and course tracking, on-boarding, cross-training, and skills validation records.
Assist in activities related to Mars Associate Survey, including teaching and answering questions about the survey. Support line managers in coordinating/organizing Team Engagement sessions.
Maintain activities with the Badging system, Visitor Envoy system,
Creates Orientation packets as needed
Organize and support visitors and tours
Manage and organize food and event planning. Coordinate all site associate related events
Create and manage scheduling of conference rooms for LT meetings, auditors, visitors, etc
Manage Pets at Work policy
Manage and maintain site appearance, site amenities and services using standard contract KPI's and implementing daily/weekly reports with KPI's (i.e. cafeteria lunch service, uniforms, janitorial, associate communication boards, service award program, all site boards and visualization)
Organize associate travel as needed
Manage P-Card purchasing and expense reporting, including ordering supplies, boards, tools and consumables outside of IFM scope
Coordinating activities (i.e. POC visitors, temps, etc.; mail/postage; flowers for funerals, special events; food coordination; retirement parties; organize meetings/assist with travel & visitors, organize community events, etc.)
Manage all site communications, postings, POKA
Partner with commercial on contracts (i.e.: Vending, Temp Labor, and Uniforms).
Assist in coordination of recruitment activities for the site. In conjunction with the line manager and the TA department.
Participates in leadership team meetings and discussions as necessary
All other activities, tasks, project work, and responsibilities as assigned
Special projects/assignments as requested from the Leadership Team
Minimum Requirements:
High School Diploma or equivalent.
3-4 years' experience in Office Management
An undergraduate degree or equivalent, preferably in one of the Accounting or business-related disciplines.
Strong organizational and multi-tasking skills.
Strong written and verbal communication skills, with demonstrated strength in conflict resolution .
Strong interpersonal skills, with the ability to work well with associates within all levels of the organization.
Ability to work with confidentiality.
Excellent computer skills with experience in all Microsoft Office Suite
Ability to work with little or no supervision.
Ability to travel minimal.
