PROJECT COORDINATOR



Title: Project Coordinator

Position: Exempt with Full Benefit Package including 401k


POSITION OVERVIEW: Responsibilities include, but are not limited to planning, organizing, purchasing, directing, and controlling project activities required for effective management of projects. Works with financial, contract management and other management reports and tools to define project problems to assure project profitability.


KEY DUTIES & RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:


Support Regional Project Managers in managing small and large projects
* Ensure projects adhere to Quality Management System (QMS)
* Schedule and facilitate project kickoff meetings
* Set up and maintain Smartsheets including schedules, tasks, and site documentation
* Communicate with Customers as directed by Project Managers - i.e. current schedule information and status of Customer-provided items
* Track project submittals to ensure appropriate approvals are received and documented
* Coordinate project material purchases with Purchasing Department
* Manage project change order process
* Audit project documentation
* Provide information to determine labor and material requirements on a global project basis
* Assist in the preparation of base data required for monthly job billing
* Provide Project Manager back-up on an as-needed basis


Operational and facilities issues

* Maintain incoming and outgoing contracts as directed by Regional Manager
* Serve as liaison between Company corporate and field staff, as well as customers, applicants, etc. Maintain current knowledge of Company and Company operations, policies, and organizations.

MINIMUM QUALIFICATIONS: The following are the minimum qualifications an individual needs in order to successfully perform the duties and responsibilities of this position. Please note that the minimum qualifications may vary based upon the department size and/or geographic location.


Knowledge:

* 4+ years progressively responsible, related coordination experience
* Excellent PC (word-processing, spreadsheet, presentation) skills. Smartsheet experience is a plus but not required.


Skills/Abilities:

* Excellent attention to detail
* Efficient and timely performance of coordination assignments
* Ability to organize workload for effective implementation
* Ability to solve practical problems and carry out responsibilities under general supervision
* Ability to write correspondence and present information in one-on-one and group situations

* Maintain a neat, professional appearance and demeanor

PHYSICAL DEMANDS:

Must be able to see, hear, speak and write clearly in order to communicate with employees and/or other customers; manual dexterity required for occasional reaching and lifting of small objects, and operating office equipment.


WORK ENVIRONMENT


The office is clean, orderly, properly lighted and ventilated. Noise levels are considered low to moderate.
Some on-site visits to construction sites.
