Summary of Job Duties and Responsibilities:

The responsibilities of this position will be in the grants and contracts area. This position will be responsible for completing the monthly grant purchasing card audits. Responsible for training faculty and staff on post award functions of grants and will perform various support duties as assigned by the manager over the grants and contracts area.




  • Review and approve expenditures on grants/contracts including review of invoices, monthly purchasing card audits and daily expenditures.

  • Allocate and reconcile indirect costs for each grant account.

  • Train faculty and staff on university policies and procedures and agency requirements, as they relate to the financial issues on grants and contracts.

  • Perform monthly purchasing card audits on all grant purchasing cards.

  • Ensure budget and spending guidelines are followed throughout life of award, monitor cost sharing/matching and time and effort requirements for specific federal and state programs.

  • Review monthly E-print reports after completed by Accounting Assistant to ensure all expenditures are documented with back up receipts and to ensure all reporting requirements have been met.

  • Approve monthly and quarterly invoices to funding agencies. (manual and electronic)

  • Assist in preparation of annual audit work papers including the Federal Single Audit.

  • Assist in preparation of annual NSF report, Homeland Security report, CASE report, Fact Book Report, College of Education report, and Biennial Budget Restricted Budget Report.

  • Create time and effort reports for exempt employees paid from grants.

  • Other duties as assigned.


Minimum Education Requirements:



  • Bachelor's degree in Accounting


Minimum Experience and Skill Requirements:



  • One year of experience with general accounting functions and computerized general ledger applications. May substitute up to one year of experience with successful completion of CPA exam.

  • Knowledge of generally accepted accounting principles.

  • Fluent in Microsoft Excel and Access with explanation level of knowledge

  • Excellent oral and written communication skills

  • Excellent organizational and analytical skills.

  • Ability to complete tasks under demanding time schedules


Preferred Education and/or Experience Qualifications:



  • Experience with Banner/ERP applications.

  • Experience with policy and procedure development.
