Job Description:

The Head of Finance and HR at the Sam Noble Oklahoma Museum of Natural History is responsible for leading the daily activities and staff that provide professional administrative support, financial management, budget planning, and human resources management for the department. This position is responsible for delivering effective financial management and oversight for the museum’s budget, accounting duties, financial analysis, budget and report preparation, human resources processes, including payroll coordination, and policy development. This position reports to the Director and supervises 2 full-time staff and 0-4 Peak and/or part-time employees as needed. 



  • Provides financial support by performing accounting, financial analysis, and payroll. 

  • Performs data analysis and prepares reports. 

  • Maintains budget and grant administration, account reconciliation, Pcard management, OU Foundation funds, and other financial support. 

  • Responsible for the management of and reporting on Deposits, Receivables, Purchases, Payables, UBIT, Sales Tax, and others.

  • Oversees administrative processes to ensure effective financial management and reporting. 

  • Assists with the development, implementation, and interpretation of policies and procedures, ensuring compliance with federal, state, and university policies and regulations. 

  • Coordinates financial transactions for departmental accounts such as purchases, travel, policies and procedures, billing, invoices, reimbursements, and other departmental support. 

  • Oversees records maintenance (inventory, personnel, office files, etc.). 

  • Oversees all personnel/Human Resources matters, including payroll, compensation, hiring, and discipline. Acts as the liaison to OU Human Resources. 

  • Manages approval process for payroll, leave accounting/reporting, and other financial matters. 

  • Assists with developing, implementing, and interpreting policies and procedures. 

  • Coordinates with contractors and vendors. 

  • Provides administrative support for effective office management. 

  • Coordinates, plans, and executes department events and logistics. 

  • Supervises staff, including hiring, training, and evaluating performance. 

  • Participates in special projects or assignments requiring initiative, independent action, and specialized knowledge or expertise. 

  • Performs various duties as needed to successfully fulfill the function of the position.

    Required Education and Experience: Bachelor’s degree in accounting, Finance, Business, Management, or a related field, AND:



    • 48 months of office management, financial management, or related experience.


    Equivalency/Substitution: Will accept 48 months of experience in lieu of the Bachelor's degree for a total of 96 months of related experience.


    Skills:



    • Basic math skills.

    • Advanced computer skills with a wide knowledge of business software.

    • Proficient in Microsoft Office.

    • Detail-oriented for accuracy of data and information.

    • Highly organized and able to handle multiple projects and deadlines.

    • Able to produce reports.

    • Able to multitask and meet deadlines in a timely manner.

    • Progressive experience and demonstrated success in budgeting financial planning and project management. 

    • Experience in leading and promoting a collaborative work environment, including working with interdepartmental teams and initiatives. 

    • Self-motivated and able to work with minimal supervision towards problem solutions. 

    • Flexibility and ability to adapt to changing situations; ability to exercise discretion and independent judgment. 

    • Proficient in staff supervision and management, including development and implementation of human resources policies, training of employees, communication of directions and expectations, assigning and monitoring work, and performance evaluation. 

    • Experience with PeopleSoft and Adaptive. 

    • Ability to acquire and maintain detailed knowledge and understanding of the museum, aligning the mission, vision, and strategy of the museum. 

    • Experience with universities and museums, cultural organizations, or other non-profits. 


    Certifications or Licenses:



    • OK Driver's License

    • Sit for prolonged periods.

    • Communicate effectively, both verbally and in writing.

    • Ability to engage in repetitive motion.

    • Standard office environment.

    • The job may include frequent exposure to pressure caused by deadlines and busy periods.

    • Requires contact with non-university and university visitors, clients, contractors, and vendors.


    Departmental Preferences:




    • Master’s degree in accounting, Finance, Business, Management, or a related field.
