Job Summary
The Document Controller will manage the transfer, handling, and storage of documentation for project and production operations related documents and its management system. The document controller will ensure adherence to Murphy's Global Document Control policies, administer training sessions and coordinate system updates with IT and business stakeholders.
Actively maintains a Master Document Register that consists of engineering drawings, specifications, procedures, and plans. Monitors due dates for reviews and expedite over-due documents Filing of Electronic and hard copy technical documentation.
The Document Controller will also support the developments team in following Management of Change (MOC) workflows with the asset team. The Document Controller will work in our Houston Corporate office and may work two (2) days a week remotely.
Responsibilities
Provides support and training in the use of the electronic document management system and associated process workflows
Collaborate and work closely with multi-disciplinary teams such as HSE, Engineering, Maintenance, Production Operations, IT etc.
Liaises with business and corporate stakeholders to continuously improve workflows, processes, and electronic systems
Champions effective use of applicable Electronic Document Management (EDM) and MOC systems
Responsible for processing of incoming documents (Engineering and Vendor) according to established document control procedures
Responsible for the preparation of internal and external transmittals
Responsible for applying company or business partner processes which dictate document numbering conventions to project (which could vary from project to project)
Responsible for proper identification and classification of documents according to company and client requirements
Responsible for utilizing company Electronic Document Management System(s)(EDMS) for managing documents
Assist company and Vendor project teams and company employees in the search and retrieval of documents upon request i.e., Central Files
Responsible for expediting documents through internal and external review cycles as applicable
Perform any other related duties as required or assigned
Qualifications/Requirements
High School diploma or equivalent
Minimum 5 years' experience in document management, archive management, or records management.
Strong technical understanding of technical and engineering documents
Ability to think strategically and with innovation, including a demonstrable capacity to proactively identify and respond to relevant issues of both long-term and immediate importance to the Company
The individual is required to follow all applicable safety precautions. Work is performed almost entirely in a controlled (i.e., inside) environment and does not typically subject the incumbent to any hazardous/extreme elements; some positions may require regularly moving or transporting items weighing up to 25 lbs. around the office for various needs. The successful candidate must be able to complete all essential physical requirements of the job with or without reasonable accommodation.
Desired/Preferred Qualifications
Strong understanding of M-Files as Document Management System
Bachelor's degree in business administration, Library Sciences, or related field
Must possess good work habits, a strong work ethic, be a quick study, able to learn, retain and teach others new technology as it is introduced in the industry; and be able to adhere to Company work hours, policies, and standard business etiquette
