Job Description Summary The University of South Alabama’s English department is seeking to hire a Secretary V. Interested candidates should apply to be considered.

Essential Functions

These are the job duties required of the position.

Essential Functions
  • Prepares correspondence, reports, various forms and other documents using a PC.
  • Assists department Chair and faculty by preparing and entering class schedules in Banner and handles all room assignments for classes.
  • Utilizes Banner Finance and Student Record System to access departmental and student information.
  • Assists with faculty candidate searches to include placing ads, processing paperwork, maintaining files, sending correspondence, and preparing the Affirmative Action Report.
  • Assists with preparation of Faculty Activity Reports & Annual Reports for the department.
  • Hires and supervises students to include assigning duties and checking work.
  • Processes necessary paperwork to hire graduate assistants, teaching assistants and interns.
  • Compiles portfolios for part-time and full-time faculty members upon request.
  • Assists students with registration problems.
  • Assists faculty to include giving make-up exams to students and proctoring exams.
  • Provides departmental information to faculty, staff and students.
  • Maintains departmental files and personnel records for faculty.
  • Greets and routes visitors.
  • Answers phone and directs calls.
  • Ability to work schedule as defined and overtime as required.
  • Regular and prompt attendance.
  • Related duties as required.
