Job Description Summary


The Assistant Director works closely with the University Stewardship and Engagement Strategy and Principal Gifts teams to manage projects and implement programs to steward donors with a lifetime giving of $5 million or more. This position will help in strengthening institutional relationships with prospects and donors by assisting with and facilitating communications and invitation design, personalized stewardship plans, data tracking, recognition gifts, and special events.

Job Responsibilities



  • Provide graphic design support for Engagement Strategy and Principal Gifts departments, as well as the broader Capital Giving unit. Design invitations, emails and collateral materials for department events and stewardship needs.

  • Utilizing Adobe Creative suite, create layout and design for individual stewardship reports and special projects, including photo books, videos and email newsletters.

  • Manage department use of Marketing Cloud, iModules, Qwilr, and Cvent to create and distribute web-based content. Create emails, webpages, and event registrations. Send approved invitations and communications to various donor groups.

  • Assist with design and production of Academy membership roster, personalized greeting cards and other print needs as they arise. Work with outside vendors for printing and mail house needs. Handle mailings for unique donor gifts from the President and Capital Giving fundraisers.

  • Develop clear, concise written materials to brief University leadership, including the President and Board Chair, on events and other DAR-related activities. This will include researching and analyzing information from a variety of sources and employing exceptional judgment to prioritize and synthesize information into written format.

  • Assist with Principal Gifts department events where stewardship is the central feature. Manage invitation mailings.

  • Write and edit stewardship communication. Research specific gifts and produce stewardship reports for unique donors that have given to centrally-based areas. Work with Principal Gifts team to provide tailored reports as needed for individual donors in the Principal Gifts prospect pool.

  • Manage updates for the Class of 1949 Generational Bridge. Interface with donors seeking information about gifts to the Bridge and track payments. Work with Facilities and Real Estate Services (FRES) and outside vendors to facilitate approvals and monitor the installation of the project. Track requests and gifts for memorial benches/trees and coordinate with FRES on installation.

  • Report to the Executive Director, Stewardship and Engagement Strategy. Work closely with him/her on the donor stewardship needs for the Principal Gift prospect pool. Establish and maintain strong working relationships within DAR, including the Senior Associate Vice President for Capital Giving, School/Center stewardship colleagues, Reports, and Records & Gifts Accounting.

  • Provide staff support for special events, as needed. May include events managed by Principal Gifts and DAR events that need volunteer staff.

  • Must maintain confidentiality of all privileged information, as well as demonstrate good judgment and the ability to work autonomously.

  • Develop and maintain a strong working knowledge of development and alumni relations at Penn by taking advantage of internal training opportunities, building relationships with colleagues, reviewing institutional websites and publications, and keeping abreast of breaking news.

Qualifications



Bachelor's degree and 2-3 years of experience in donor relations, graphic design, communications, or related field or equivalent combination of education and experience is required; experience in higher education preferred. Excellent computer skills with high proficiency in Microsoft Office required. Graphic design skills required, including knowledge of Adobe Creative Suite applications. Knowledge of email marking programs preferred. Excellent written and oral communication skills. This position requires a high level of professionalism, discretion, diplomacy, and confidentiality. Must be able to work effectively with diverse members of the University community with tact and courtesy; must have strong organizational and analytical skills and the ability to work collaboratively with team members; demonstrated ability to meet deadlines and demonstrated interpersonal skills; excellent computer skills, familiarity and knowledge of relational databases and use of the Internet. Some evening/weekend work and valid driver's license required.
