The Administrative Assistant for the Computer and Information Science Department in Penn Engineering will perform various administrative functions, including managing all aspects of the reception office, interacting with visitors to the office, directing and responding to inquiries, providing administrative support to faculty, supporting course web sites, maintaining course materials, coordinating meetings, and assisting with special projects.
Job Description
The Administrative Assistant for the Computer and Information Science Department (CIS) in Penn Engineering will perform various administrative functions, including managing all aspects of the reception office, interacting with visitors to the office, directing and responding to inquiries. Coordinate and receive mail, including updating mailboxes; respond to emails and Fresh Service; coordinate conference room scheduling for the department; maintain key inventory and equipment sign out sheets; maintain and order office supplies, coffee and drinks, and kitchen supplies; handle most of the catering needs in CIS, including ordering, meeting caterers, setting up and breaking down conference and meeting rooms; manage part-time temporary and student workers. Provide administrative support to faculty, including supporting course web sites, maintaining course materials, ordering books and coordinating faculty and TA meetings. Handle correspondence, travel arrangements and reimbursements. Assist Department Chair and Director with special projects, seminars, developing and tracking spreadsheets for projects, etc. Assist with other related administrative activities.
Qualifications:
High School diploma or GED, with 2-3 years of related experience, or an equivalent combination of education and experience. Proficient computer skills; experience working with Microsoft Office; ability to multitask, identify mission critical priorities, with strong follow up and closure skills; excellent interpersonal, communication and organizational skills. Must be able to work well in a team environment and independently on specialized assignments. Previous experience working in an academic environment preferred.
