The Office of Academic Affairs enables the success of students and faculty in teaching and learning, research, and creative expression. The Executive Administrator to the Provost within the Office of Academic Affairs (OAA) works with a high degree of autonomy to facilitate day-to-day scheduling needs for the provost and provides support on a range of issues and special projects. The individual must work well independently while maintaining confidentiality and exercising sound judgement. The Executive Administrator will have the ability to adapt and adjust to shifting priorities and deadlines. Works collaboratively to compile background information and obtain final materials and briefings for the provost. Provides clarification and gathers additional materials for the provost as requested. Organizes and prepares agendas and attends meetings to provide transcription services as needed. Assesses inquiries, requests for information, and determines effective course of action or transfers to the appropriate team member for completion. Understands the Provost's key priorities and adeptly adjusts calendar to accommodate unexpected events/developments. Serves as liaison and relationship-builder with faculty, staff, students, OAA leadership, and other internal and external constituencies at the local, state, national, and international level. Facilitates communication to staff, students, faculty, and administrators, as appropriate. The Executive Administrator to the Provost will provide communication and coordination of the Executive Assistants who report to the OAA Vice Provosts, ensuring concierge-level preparation and support across the Office of Academic Affairs, and will manage leave so that executive assistant support is consistently provided. This role may supervise student employees assigned to work in the provost's office.




Education and Experience


Minimum Requirements



  • Bachelor's degree or equivalent experience.

  • Advanced degrees in relevant field may be desirable.

  • 6 years of relevant experience required.




Required Education and Qualifications:



  • Bachelor's degree or an equivalent combination of education and experience in an administrative capacity to senior-level executives.

  • Considerable experience interacting and liaising with senior leadership in an academic setting.

  • Demonstrated experience communicating with poise and precision.

  • Supervisory experience with the ability to lead and support a team.

  • Demonstrated commitment to providing concierge-level support.

  • Proficiency with computers (PC and Mac) and necessary software programs, including Microsoft Office.

  • Highly functional and flexible to shifting needs and priorities.

  • Excellent organizational skills and attention to detail.

  • Dedication to providing excellent customer service, acting with professional etiquette, and exhibiting behavioral leadership qualities.

  • Team player who prioritizes precision, accuracy, and excellence, and operates with humility and grace.

  • Ability to anticipate needs and pivot successfully while balancing competing priorities.

  • Operates with professional integrity, diplomacy, and discretion.





Desired Qualifications



  • Knowledge of Ohio State and Ohio State system-wide governance, instructional and research programs, organizational and personnel structures, communication channels, policies, and procedures.

Additional Information:


The Targeted Hiring Range for this position is $81,000 - $106,500. The actual salary offered will vary based on multiple factors, including but not limited to education, years of experience, and internal equity.
