The Non-Drive Set Up Specialist assists Collision Repair Specialists in securing non-drivable vehicles from tow yards or non-networked facilities. Give instruction to vendors by sending repair instructions (shop notes) and taking care of any advance fees required for vehicle release.

KEY RESPONSIBILITIES - ESSENTIAL FUNCTIONS
Locate and secure non-Drivable vehicles.
Manage non-drive vehicle view and work with distribution coordinators to assign files within 24 hours of loss report creation.
Look up initial data (vehicle number, vendor number, MAP history) for reviewing vehicle history.
Create POs for safety repairs, per the client's profiles parameters.
Coordinate with shops and tow yards regarding vehicle repairs
Assign appraisal companies for losses when necessary.
Send shop notices to body shops with instruction of vehicle repairs.
Contact Drivers to inform of process or get additional information as needed.
Communicate status of repair to Collision Repair specialists and or clients when necessary
Update Lotus Notes with POs created and update loss report status.
Document Lotus Notes properly & completely
Help get repairs completed promptly.
Function as liaison between vendors & Collision Repair Specialists
Work to facilitate completion of repairs when necessary.
Follow up on rentals for Drivable Rental program.
Complete daily spreadsheet for files ready for assignment
Assist Collision Repair Specialist's with Print and Issue files under $1000.
Assist with A/P rejects when necessary.
Work with AE to obtain title and registration needed for non-Wheels units.
Excellent work ethic, follow-up and organizational skills.
Ability to work independently.
Ability to cross-train for other duties.
Ability to attend training classes as needed and / or requested.
EDUCATION AND EXPERIENCE
High School diploma required
PC familiarity including Windows.
Minimum three (3) years Customer Service experience
An understanding of Fleet, Vehicle or Collision Repair, Subrogation, and/or Risk Management is a plus.
JOB SPECIFICATIONS, PHYSICAL DEMANDS AND WORK ENVIRONMENT
Work Environment: This position is remote once individual can show competency in role. In person training is normally completed in IL office.
Positions Type/Standard Schedule: This is a full-time position, Monday through Friday.
Travel: No Travel required for this position.
Physical Demands: The position requires the individual to spend lengthy periods of the time working on a PC and talking on a phone while sitting at a desk.
