Job Summary
The position serves as the primary receiving point for all incoming correspondence sent to the Customer Grievance and Congressional Relations department from internal and external sources for all TriWest VA/DOD contracts. Ensures date-stamping and logging of workload in department's VA correspondence tracking system (TRCTR), addresses incoming workload tied to TRICARE operations (utilizing the CRM for that workload) and other spreadsheets utilized for tracking non-VA-reported and non-DOD-reported workload. Monitors receipt of incoming faxes. Produce reports out of tracking system and other tracking spreadsheets at the request of department director and manager. Performs printing faxes and other documentation, photocopying and other duties as assigned. Maintains receipt and tracking of company "kudos" listing for reporting purposes.
Education & Experience
Required:
• High School degree or G.E.D.
• U.S. Citizen
• Must be able to receive a favorable Interim and adjudicated final Department of Defense (DoD) background investigation.
• Minimum 2 years clerical experience, with business office experience
• Good written and verbal communication skills
• Experience with Word and Excel
Preferred:
• Experience with spreadsheets and statistical reporting
• Experience with health care terminology
• Veteran, military retiree or military spouse
Key Responsibilities
• Receives all incoming correspondence to the department tied to TriWest's VA and DOD contracts
• Date stamps correspondence and troubleshoots entry dates within TriWest, when needed
• Initiates logging of correspondence details (to include research of Veteran-specific information) into TRCTR correspondence tracking system, into TRICARE CRM case tracking system (when required)or into spreadsheet (for workload like routine correspondence and provider-specific complaints that don't qualify for reporting to VA or DoD
• Monitors fax browser for incoming casework
• Prints faxes, scans documents, and performs other similar duties for staff as needed
• Receives, tracks and reports kudos from throughout the company received through kudos@triwest.com email address.
• Other duties as assigned by director and/or manager

Technical Skills: Working knowledge of the VA Health Care System and related programs that TriWest is contracted to administer for the VA, as well as a growing knowledge of the incoming DOD contract. General working knowledge of district, state and federal Congressional offices within the VA CCN and TRICARE Regions TriWest is contracted to administer; familiarity with Privacy Act and HIPAA requirements that apply to all customer complaint/grievance and priority inquiry scenarios.
