The department of Medicine has an exciting opportunity for a full-time Director, Department Planning & operations to work on the UHealth campus. The Director, Department Planning & Operations - Healthcare provides leadership and oversight over daily operations and long-term strategic goals of the department. The Director, Department Planning & Operations - Healthcare works closely with internal and external stakeholders and assumes responsibility for planning, directing, and executing initiatives to create and/or improve departmental processes and functions. The incumbent also assists in the development of department metrics and key performance indicators (KPIs) to improve performance and productivity across a service lines or functional areas.



CORE JOB FUNCTIONS



  • Plans, organizes, directs, and controls the operational activities for the department.

  • Develops and executes a plan to accomplish the department's goals and objectives.

  • Participates in and ensures that strategic planning is conducted at least annually and ensures the execution of the plan.

  • Executes business cases, working with cross-functional teams outlining business or expansion opportunities, rationales, and execution plans to achieve the vision of the department.

  • Assists in the development of administrative policies and procedures and ensures effective operational standard operating procedures are in place.

  • Supports cross functional projects and initiatives through the development of key milestones, project plans and policy development. Responsible for organizing, distributing, and managing agendas, deliverables, action plans, project plans, and various other tools. Manages action items and processes required to see projects through by engaging multiple teams.

  • Collaborates with leadership to ensure understanding of metrics and initiatives. Leads messaging and communication efforts, provides feedback, and resolves issues and concerns.

  • Builds partnerships across organizational and departmental boundaries to leverage knowledge and refine best practices.

  • Monitors financial performance indicators on an ongoing basis, investigates budget variances, and adjusts operations or recommends adjustments when necessary.

  • Communicates progress on projects and initiatives, outlining opportunities and risks to all stakeholders.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

  • Bachelor's degree in relevant field

  • Minimum 5 years of relevant experience

Strategic Initiatives






  • Serves a member of the Chair's leadership team

  • Directs major projects with strategic value for the Department of Medicine (DOM), MSOM, and UHealth as directed by the Chair, Vice Chair or Executive Director of Clinical Operations

  • Execute strategic and business cases, working with cross-functional teams outlining business opportunities, rationales, and execution plans to achieve the vision of the department (e.g., funding plans, development proposals, new/transferring programs, or institutions)

  • Provides recommendations to the Chair, Vice Chair, CMO, and Executive Director of Clinical Operations on administrative matters and represents and acts on their behalf in the rendering of business decisions

  • Consults and provides direct support and oversight on projects with strategic value for the Department of Medicine (DOM), MSOM, and UHealth

  • Supports the Executive Director of Finance in annual budgeting and planning process for DOM

  • Leads initiatives to improve operational systems and support better management reporting

  • Develop, implement, and coordinate strategies and operational enhancements aimed toward ensuring department goals are met; apply thoughtful analytics to business opportunities and implement evidence-based decision making.

  • Measure and track critical KPIs (Dept Productivity, wRVU/CFTE, Access, Open Encounters, etc.) and initiatives, and present to an executive leadership audience




Clinical & Business Operations





  • Directs an operations team in providing business intelligence necessary for ongoing projects and new initiatives

  • Guides team in patient access improvement initiatives for the DOM in coordination with the Executive Director of Clinical Operations and the leaders of each division.

    • Serves primary liaison with UConnect/Template Optimization Team in addressing operational needs and policy issues

    • Serves as Department approver for all template requests, modifications, and openings/closures.



  • Drives and supports initiatives in the management team and organizationally that contribute to Press Gainey results and support marketing programs

  • Evaluates, provides feedback, and leads discussions for corrections and updates in CART-O submissions by Divisions monthly

  • Participates in UHealth committees focused on strategies to improve and/or make changes in clinical operations

  • Recommends solutions to Executive Director to achieve UHealth plan targets related to revenue reporting and short/long-term gap analysis planning

  • Leads initiatives to increase provider productivity through analyzes of RVU generation, E&M coding patterns, and clinic/procedure mix index to achieve a minimum of 65th productivity percentile goal.

  • In collaboration with DOM and UHealth leadership develops new models and solutions for departmental APP deployment and productivity; analyzes current deployment models and best practices.

  • Manages Productivity Report reconciliation process to address CFTE, VA, CPSC specialty designations, and FMLA efforts monthly; identifies variances/corrections.

  • Designs/pilots new tools and strategies for analyzing RVU calculation and distribution in partnership with CMO of Medicine; deploy tool/methods for department-wide utilization.

  • Oversees all DOM run clinics (DRI, Converge) to ensure adequate staffing, patient satisfaction, fiscal performance, regulatory compliance, and the highest quality of healthcare delivery

  • Develops and maintains onboarding and training plan for new DOM Administrators.

  • Serve as the DOM content/technical expert for multiple clinical systems and processes including: UChart, QGenda, NICE, Telehealth, Bill Areas, Cactus, credentialing, and provider enrollment.

    • Expected to provide data, training for faculty and staff and support for ongoing operations as well as implementation of new technology

    • Works collaboratively with other experts to ensure adherence to the UChart revenue cycle workflows, to lead ambulatory physicians practices through EMR upgrade implementations, and enhance reporting. Supports validation of conversion data and other data for UChart In-Basket, HIM Deficiencies, Scorecards, etc.



  • Actively participates and serves as a leader in nation-wide organizations to improve visibility for the DOM, facilitate development opportunities for Administrators, and gain access to strategic information and data crucial in strategic planning. (AAIM, MGMA, SHM)
