Job Summary / Basic Function:


SUMMARY OF JOB DESCRIPTION: The Accounting Associate reports directly to the Director of Finance and is responsible for reviewing and submitting payments for all local and state invoices. This position will also be responsible for auditing and approving travel requests and travel reimbursements.



DUTIES AND RESPONSIBILITIES:


  • Process all manors of Accounts Payable for entire institute

  • Audit invoices for correct charges, purchases and validity, ensure all state guidelines have been met and followed

  • Process payment via paper check or ACH funding; Work closely with Accountant to ensure correct banking information for each vendor

  • Audit Purchase Orders for available funding

  • Ensure payments made from the institute fall within state policy and procedure guidelines

  • Maintain all files relating Accounts Payable, continued education to stay current on Accounts Payable regulations per state guidelines

  • Process all manors of Travel for the institute to include proper completion of Travel Requests and Travel Vouchers

  • Audit both Requests and Vouchers for accurate amounts, correct funding and adherence to state Travel policy and procedure

  • Make corrections as needed and/or return documents to Traveler for corrections

  • Process payments of reimbursements once all documentation received and correct

  • Maintain all files relating to state travel, continued education to stay current on travel regulations per state guidelines

  • Serve as Staff seat on Student Financial Aid Appeals Committee

  • Other duties may be assigned to this position on a regular or occasional basis to respond to needs





Physical Requirements:This position requires the ability to: remain in a stationary position for most of the time; occasionally move about inside an office to access documents, office equipment, etc.; and constantly operate a computer or other office equipment, such as a printer or copy machine.
Minimum Qualifications:



  • 1-2 years of working experience in Accounts Payable

  • Accounting knowledge


Preferred Qualifications:



  • Experience in Higher Education Accounting

  • 3-5 years in Accounts Payable


Salary:

$35,000


Work Hours:

Monday - Friday, 8 - 5
