Job Summary:

We are seeking a detail-oriented and organized Real Estate Assistant to support our team with various administrative tasks. The ideal candidate will possess 1-3 years of experience in Commercial Real Estate, have excellent communication skills, be proactive, and have a strong ability to multitask in a fast-paced environment.

Key Responsibilities:
  • Source Third Party Vendors (HVAC, Roofers, Landscapers, Plumbers, Emergency Services, ect.) to assist day-to-day operations across the entire portfolio.
  • Prepare and edit pre-drafted templates pertaining to tenant correspondence, reports, and lease documents.
  • Take ownership of Yardi and SharePoint databases (Leases, Amendments, Vendor Contracts, etc.) and be designated POC for all document pull requests.
  • Manage and organize Third Party Vendor calendar - scheduling and inputting vendor schedules, appointments, and meetings into global calendar for Property and Construction Management teams.
  • Assist in special projects and perform other duties as assigned.
  • Assist with the preparation of documents and materials for meetings and events.
  • Handle incoming calls, emails, and inquiries, providing excellent customer service.
  • Coordinate travel arrangements, including itineraries and accommodations.
  • Maintain office supplies and equipment, ensuring everything is stocked and in good working condition.

Qualifications:
  • Bachelor's degree
  • Proven experience in Real Estate or in a related role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Experience in Yardi
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks and manage time effectively.
  • Professional demeanor and ability to work well with diverse teams.
