Role Description

Overview

We are seeking a dynamic and experienced Director of Operations to lead our operational strategies and enhance our organizational effectiveness. The ideal candidate will possess a strong background in strategic planning and operations management, with the ability to negotiate effectively and drive process improvements. This role requires a visionary leader who can manage diverse teams, foster business development, and implement project management initiatives that align with our company's goals.

Responsibilities
  • Develop and implement strategic plans to optimize operational efficiency and effectiveness.
  • Oversee daily operations to ensure smooth functioning across all departments.
  • Lead and mentor senior leadership to promote a culture of high performance and accountability.
  • Negotiate contracts and partnerships that align with the company's objectives.
  • Identify opportunities for process improvement and implement best practices across operations.
  • Manage budgets, resources, and timelines for various projects to ensure successful execution.
  • Collaborate with cross-functional teams to drive business development initiatives.
  • Monitor industry trends and competitor activities to inform strategic decision-making.

Under the direction of the COO, the Director of Operations will oversee the planning, procurement, and production of product production and bulk input formulation. Ensure the Operations team meets or exceeds 98% complete order delivery within 24 hours of order. Create and manage agreements with the largest and most strategic suppliers. Minimize operational costs and demonstrate ownership of on-time and accurate product delivery.

RESPONSIBILITIES
  • Oversee efficient operations in production and fulfillment departments, setting KPIs and growth metrics
  • Conduct regular team meetings mapping upcoming projects, facility priorities, & progress in all departments
  • Contribute to the company's strategic growth as part of the executive team
  • Coordinate cross-functional initiatives and projects
  • Manage facility budgets and measure the effectiveness of all processes (production, operations, management, etc.)
  • Other duties as assigned

LAUNCH RESPONSIBILITIES
  • Access commercialization viability of new product launches, working with the Executive Team
  • Update Launch Checklists with action items from all departments (coordinate with Production Coordiantor)
  • Troubleshoot launch issues and work to communicate Product Ready Date to sales and marketing
  • Schedule the formulation and filling of new products for launches.

OPERATIONS
  • Ownership of overall facility efficiency and operational flow of raw materials, production, and fulfillment
  • Ownership of operational SOPs and optimal utilization of MRP (Cin7 Core), project management (Asana) and Google
  • Maintain and manage all aspects of the facility, managing scale-ups and builds within budget
  • Oversee Inventory manager's monthly physical inventory audits, reconcile actual inventory counts with WMS
  • Create and institutionalize SOPs for all processes, including the production of current or new products
  • Project Management: Task assignments + follow-ups with department heads & ensure deadlines are met

PRODUCTION
  • Work with the Sales, Lab, and Production managers to forecast anticipated demand and adjust PAR levels
  • Oversee scheduling of internal and external production with the Production Manager and Lab Managers
  • Create plans for product phase-outs / coordinate with the team to carry out the phase-out of underperforming SKUs
  • Work with the Production Coordinator to set up launch plans for new products, communicate to the team
  • Implement additional QC checks and measure performance at key steps in the production process
  • Ensure that managers accurately schedules and oversees production, ensuring all KPIs are met or exceeded
  • Support cost analysis of new products, and accurately provide COGS data to management and COO

HUMAN RESOURCES
  • Oversee that managers conduct reviews, performance follow-ups, and 1:1s to facilitate continuous growth
  • Oversee candidate review, manage headcount planning to coincide with growing operational capacity
  • Performance monitoring - regularly review and provide feedback on the team's performance

Minimum Qualifications:
  • Excellent communication skills & great leadership capabilities
  • Scaled CPG manufacturing experience with director level management
  • Team management experience of 40+ and optimized employee scheduling
  • Willingness to upskill and learn new systems, Cin7 Core MRP and Asana task management
  • Be a self-starter, able to stay productive without oversight & analyze processes
  • Must be over 21 years old and able to commute daily to downtown SE Portland

Experience
  • Proven experience in operations management or a similar leadership role.
  • Strong skills in strategic planning, project management, and process improvement methodologies.
  • Demonstrated ability to lead teams effectively and foster a collaborative work environment.
  • Excellent negotiation skills with a track record of successful contract management.
  • Experience in business development within a relevant industry is preferred.
  • Strong analytical skills with the ability to make data-driven decisions.
  • Exceptional communication skills, both verbal and written, with the ability to engage stakeholders at all levels.
