Job Title: Executive Assistant

Location: Green Bay, WI 54311

Employment Type: W2 - Contract

Duration: 4 Months

Hours: 8 am to 4:30 pm

Pay: $30-38/Hr

Position Summary

The Executive Assistant provides high-level administrative support to executives within the organization. This role includes managing calendars, coordinating meetings, preparing correspondence, and assisting with projects to ensure smooth day-to-day operations.

Key Responsibilities
  • Calendar & Meeting Management:
  • Schedule, coordinate, and manage executive calendars.
  • Plan and organize internal/external meetings, ensuring all logistics are handled.
  • Administrative Support:
  • Draft, proofread, and finalize correspondence, presentations, and reports.
  • Manage email communications and follow-ups on behalf of executives.
  • Organize and maintain confidential files and records.
  • Coordination & Project Support:
  • Coordinate travel arrangements, itineraries, and expense reports.
  • Assist with planning events, special projects, and key initiatives.
  • Act as a liaison between executives and other departments.
  • Operational Support:
  • Ensure the timely completion of deliverables and follow up on action items.
  • Handle office management tasks, such as ordering supplies and managing vendors.

Qualifications
  • Education: High school diploma or GED required; Associate's or Bachelor's degree preferred.
  • Experience:
  • 5+ years of experience supporting executives in a fast-paced environment.
  • 7+ years of secretarial experience
  • Previous experience in healthcare or large organizations is a plus.

Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong communication skills-verbal and written.
  • Exceptional organizational and time management abilities.
  • Ability to maintain confidentiality and prioritize tasks effectively.
  • Strong problem-solving skills and attention to detail.
