The PMO Support role provides essential administrative and organisational support to the ERP project management team, enabling efficient execution and coordination of project activities. This role ensures adherence to project management standards, helps track project progress, and assists with documentation and reporting, while also coordinating with external vendors, SIs, and contractors to support alignment and project success.
Key Responsibilities: • Support the project manager and team in coordinating day-to-day project tasks and activities. • Assist in maintaining and updating project documentation, including status reports, project plans, and risk and issue logs. • Track project milestones, deliverables, and action items, ensuring timely completion and follow-up. • Manage the scheduling of meetings, workshops, and presentations, ensuring agendas, materials, and logistics are in place. • Prepare and distribute project communications, such as meeting minutes, project updates, and stakeholder newsletters. • Assist in budget tracking and resource management, working closely with finance and the project manager to ensure accurate reporting. • Ensure compliance with project governance standards, templates, and methodologies established by the PMO. • Provide administrative support to project workstreams, helping to manage andorganise project artefacts, documents, and communications. • Act as a liaison with third-party vendors, SIs, and contractors to support scheduling, performance tracking, and coordination. • Support vendor management activities, including tracking deliverables, managing timelines, and ensuring alignment with project requirements. • Collaborate with cross-functional teams and act as a liaison between project teams and the PMO to support project alignment.
Qualifications and Skills: • 3+ years of experience in project coordination, administration, or PMO support roles, ideally within an IT or ERP project environment. • Strong organisational and multitasking abilities, with attention to detail. • Proficiency with Microsoft Office Suite, including Excel, PowerPoint, and project management tools (e.g., Microsoft Project, PMO365). • Effective written and verbal communication skills, with an ability to work collaboratively with team members and stakeholders. • Strong understanding of project management principles and methodologies. • Experience coordinating with third-party vendors, systems integrators, or contractors, and tracking external deliverables. • Problem-solving mindset, proactive approach, and willingness to take on a variety of project-related tasks as needed.
