Position Summary:
We are looking for a motivated and detail-oriented Production Coordinator to join our team. This entry-level role is perfect for recent graduates or individuals with less than 3 years of experience who are eager to grow in the dynamic world of event production. As a Production Coordinator, you will provide critical support to the production team in planning and executing exceptional experiential events.
This role is hands-on, fast-paced, and offers an excellent opportunity to learn the ins and outs of event production while contributing to creating memorable experiences for some of the world's most recognizable brands.
Key Responsibilities:
Office Responsibilities:
Assist Associate Producers and Producers in creating production documents, such as work-back schedules, budgets, contact lists, and expense reports.
Help source and coordinate event assets, such as décor, rentals, furniture, giveaways, and staffing needs.
Organize and maintain records of vendor quotes, receipts, and expense tracking for events.
Support the process of securing permits or vendor contracts by coordinating documentation and following up as needed.
Contribute to pre-event planning by helping with timelines, production checklists, and team communications.
Assist with vendor outreach, price comparisons, and general research to support event logistics.
Support in curating the mise en scène of each event, ensuring that visual and atmospheric elements align with the brand's narrative, leaving an indelible impression on attendees.
Onsite Responsibilities:
Support the production team on-site during events, ensuring tasks are completed efficiently and effectively.
Help manage event set-up, load-in, and load-out processes by coordinating with crew and vendors.
Assist with crew logistics, including distributing call sheets, managing breaks, and maintaining morale.
Ensure all event elements meet the approved creative and quality standards.
Be a "go-to" for ad-hoc tasks, providing extra hands wherever needed to help the team deliver a successful event.
Maintain a professional and positive demeanor when interfacing with clients, crew, and vendors.

Job Qualifications:
Education: A Bachelor's degree is required.
Experience: 0-2 years of related experience in event coordination, event planning, production, or internships in experiential marketing.
A strong interest in and enthusiasm for event production and experiential marketing.
Requirements:
Excellent verbal and written communication skills.
Ability to thrive in a fast-paced work environment.
Strong critical thinking skills in high-pressure situations.
Proficiency in Microsoft Office.
Proficiency in task management or project management software (Asana is a plus).
Willingness to travel extensively (varies by account and season).
