The Senior Project Manager will confidently coordinate the execution of our museum and experience design projects from concept to installation. You will have deep knowledge of the exhibit design development process, execution techniques and strategies, and the challenges and needs of our clients and vendor partners (architects, media/interactive developers, lighting designers, exhibit fabricators, general contractors).
A Senior Project Manager at Luci is responsible for ensuring that all projects are on-time, on-budget, provide the best possible client solutions within the budgeted hours allocated, and are executed as promised. They will manage the internal workflow for projects from content development to design to installation. The Senior Project Manager must be able to work well on a team and work on a wide variety of projects in a fast-paced atmosphere. They must also be able to coordinate closely with other trade/vendor partners (architects, engineers, media/AV, IT, general contractors, fabricators) on projects, ensuring full alignment on design development through execution.
A successful SPM will coordinate project execution plans across departments and with internal and external partners. They will facilitate the development and alignment at the beginning of each phase, check-in throughout the phase to ensure progress and deliverables are being met, and agreed on approaches. The SPM will also be responsible for overseeing contract progress, support billing and change order management.
Together, the Project Manager and Project Director are ultimately accountable for a project. They are partners in responsibility for marshaling the available resources to complete the project successfully: excellent creative output, effective visitor experience, client satisfaction, smooth coordination with partners and subcontractors, on-time and on-budget.
Roles and Responsibilities
As a Senior Project Manager you have specific responsibility over the following:
Client Relationship Manager, Advocate & Point of Contact
Represent Luci Creative with client teams, partners, and subcontractors
Manage these relationships throughout the life of the project
Manage partner and subcontractor understanding and alignment of scope and process
Drive project progress through actively aligning and facilitating partner and subcontractor workflows in relationship to Luci Creative team workflows
Contracting, Budgeting, Invoicing
Contracting
Coordinate with PD to produce scopes of work
Understand Scope Requirements of Luci and Track Deliverables
Develop coordinated and holistic approaches to phasing, scopes between Luci Creative, partners, and subcontractors
Solicit and facilitate input of executive and departmental leads to build successful project scopes, labor and work plans (in later phases of projects)
Create, Execute, and Manage Client and Subcontractor/Freelancer Contracts
Understand Scope Requirements of Luci Vendors and Track Deliverables
Assess and flag any potential risk in current or future phases
Create, Execute, and Manage RFPs for project partners
Budgeting
Create and Maintain Project Budget
Ensure Alignment between Luci Bid Sheet (populated by Project Director), Contract, Luci Resourcing Tools ( Harvest/Forecast), and Overall Project Budget
Creation and Maintenance of Project Schedules (Internal and overall project in coordination with partners)
Invoicing
Track, Execute, and Manage Invoicing for Clients, Subcontractors, and Freelancers
Resource Management
Assess and Coordinate Resources Needed with Project Director and Department Heads
Manage resources needed to reach contractual objectives
Populate, Maintain, and track Harvest + Forecast Resourcing tools
Monitor the financial health of the project and collaborate with PD as-needed to adjust process to stay within overall financial plan built upon contracting
Communication/Organization
Utilize industry best practices and standards
Assess and flag any potential risk in current or future phases
Provide detailed project updates to various stakeholders as needed
Ensure Exhibit Deliverables adhere to contractual obligations
Facilitate internal and external coordination meetings effectively including follow up to action items
Document and track client direction
Document and Track all Luci and Subcontractor Project-Related Designs and Coordination
Communicate and Assist Project Director with managing client expectations
Travel as Needed
Responsible for creating and maintaining internal and external documentation for projects
Such as (but not limited to and based on SOPs for roles and responsibilities): Schedules, Budgets, Master Tracking Document, Agenda/Notes
Manage all material samples, graphic proofs, and shop drawings during the Fabrication Phase
Excellent written and verbal communication skills
Must be a strategic and conceptual thinker, able to articulate unique ideas quickly and effectively
Strong knowledge of MS Office (Excel, Outlook, Word, Powerpoint), Adobe Creative Suite, Google, Monday.com
Quality Control
Main Point of Contact for Design to Build Transition
Quality Control Assurance of Contractual and Technical aspects of Design Deliverables
Review and provide detailed feedback or direction on all project deliverables
Quality Control Assurance of Fabricated Elements based on Design Intent
Shop Drawing Review
Attention to Detail and Accuracy for all documentation created, tracked, or submitted
Desired Skills:
7-10 years of working in a Museum or Cultural Institution, Design Agency, Live Entertainment, Theatre Production, or other relevant industry, 7+ years of experience in a Project Management role
Deep knowledge of the Content, 2-D, 3-D departmental functions related to project work
Attention to detail, accuracy, and quality control
Excellent written and verbal communication skills
Strong knowledge of MS Office (Excel, Outlook, Word, PowerPoint) Adobe Creative Suite
Must be familiar with a project management software for multiple projects
Ability to develop design services estimates, a major plus
Familiar with the project phases for design to execution
Must have basic financial and cost management skills
