The Event Services Manager will have the primary responsibility of servicing and executing events booked within Rockefeller Center Venues (RC Venues), including 610 Loft & Garden, 620 Loft & Garden, Radio Park and the Rink at Rockefeller Center. This includes fostering client relations and supporting revenue generation for RC Venues. The goal is to assure the success of all special events, while maintaining a profitable operation and high-quality product and service level. The position is accountable for the operation of the venue on event days/nights and the successful execution of events.
Role
The Event Services Manager's role is to ensure that the RC Venues event services exceed ownership goals and guest expectations and to increase repeat business to support revenue generation.
Oversee servicing of events within RC Venues and assist with Rainbow Room events as needed.
Service must maintain an extraordinary level of excellence based on specs of ownership.
Work closely with building personnel, cleaning, security and engineers to ensure a seamless execution of the event.
Execute special events booked within RC Venues and act as primary contact for client and vendors leading up to the event.
Above all Event Manager must actively embody, inspire and teach the core values to all employees.
Essential Functions
Event Services
Act as main point of contact for client and vendors after event is booked
Facilitate walkthroughs for clients, vendors, security teams, or production companies ensuring all are aware of and respectful of the venue's landmark status and Rockefeller Center property restrictions.
Collect event details and paperwork to meet event deadlines (venue balances, COIs, load in forms, permits, staff lists, etc.)
Communicate event details to Rockefeller Center team (property management, sales team, cleaning, security, engineering, electricians, etc.)
Manage relationships with vendors on Preferred Vendor List and ensure insurance requirements are up-to-date.
Ensure that Event Areas are clean and presentable to clients.
On-site Coordination
Execute special events booked at RC Venues and act as primary contact for all on-site clients, vendors, caterers and building personnel
Assure guest service meets or exceeds our standards during all events
Oversee event load-in
Meet and greet client
Anticipate and address guest's service needs as they arise and resolve all matters where expectations are not met
Coordinate Rockefeller Center event staff such as security, cleaning, electricians and engineers
Communicate with appropriate departments and vendors during load in, event and load out
Prepare event space and elevators for guest arrival and oversee ingress and egress of event guests
Maintain constant communication with client throughout the event to ensure expectations are exceeded
Troubleshoot problems that may arise during the event in regards to the venue
Prepare for and oversee event load out
Record and bill additional expenses following event
Send event recap following event
Administrative Support
Assist with administrative efforts as they pertain to Event Operations and Sales such as (but not limited to):
Answering phones, distributing and responding to event leads
Creating invoices and contracts
Applying for necessary event permits
Managing RC Venue event schedule
Collection and Recording of Payments and Contracts
Tracking and processing RC Venue invoices
Collecting vendor commissions
Creating sales kits
Distributing thank you notes to clients post event
Leadership
Strong leadership abilities, sound judgment and knowledge of Sales, Catering & Event Service operations.

Fostering a team-oriented environment, within Sales & Events Department and all other RR teams.

3-5 years of experience in event service role and experience at an operation with similar service, guest relations and operational standards. Sales experience is a plus.
Ability to use Windows, Excel, Word, Outlook and basic database programs.
Must be fluent in English. Helpful if conversant in Spanish, French or Italian. Ability to read, analyze and interpret general business documents, safety rules, professional journals, technical procedures, and governmental regulations. Ability to compose reports, business correspondence, task lists and procedure manuals. Ability to effectively present information and respond to questions from managers, team members and guests.
Ability to apply creative solutions to practical problems and situations where limited standardization exists. Ability to remain flexible in determining a variety of problem-solving approaches. The employee must have the ability to maintain emotionally healthy composure and professionalism in stressful situations.
The physical demands described here are representative of those that must be met by the Event Manager to successfully perform the essential functions of this job. While performing the duties of this job, the Event Manager is regularly required to stand, walk, use hands to type and speak or hear. The employee is occasionally required to, balance, stoop, kneel, crouch or crawl. The Event Manager must regularly lift and/or move up to 15 pounds; frequently lift and/or move up to 5-30 pounds. Specific vision requirements include close vision, and the ability to adjust focus.
Peripherally supervises FOH staff through education, employee motivation. The Event Manager takes direction from Director of Sales in management of P&L, bill payment and other relevant office functions. Carries out supervisory responsibilities in accordance with company philosophy, policies and applicable laws.
While performing the essential duties of this job the employee is frequently required to work in a limited physical space with variable atmospheric conditions including ventilation, lighting, smoke and extreme temperatures. The noise level in the work area is usually moderate to loud. Must have open availability including early mornings, late nights, weekends and holidays

Recognizing the intense pressure of the Event Services environment the Event Manager has the greatest opportunity to show true leadership by upholding an unfailingly calm demeanor at all times. The Event Manager must exude leadership and professionalism by being resolutely intolerant of issues such as sexual or emotional harassment in all their forms and needs to work in an environment of evenhandedness of all employees. Maintaining leadership and professionalism will be paramount in the growth professionally, financially and personally for the Event Manager at Rainbow Room.
The base salary range for this role is $70,000 - $73,000.
This base range reflects a number of factors including, but not limited to, relevant experience, skill sets, and/or licensure required of an individual in this particular role. The base range is also specific to members of Rainbow Room's New York team, as we've considered factors specific to this geography.
