Key Responsibilities
Flexible Coverage: Provide administrative support to varying teams as needed, ensuring seamless operations.
Calendar Management: Proactively manage complex calendars across multiple time zones, prioritize meeting requests, and coordinate phone/video conference calls.
Travel Logistics: Arrange travel plans, including flights, accommodations, and itineraries, and provide logistical support during trips.
Expense Management: Process expenses and invoices accurately and in a timely manner.
Meeting Coordination: Schedule and arrange internal and client meetings, book conference rooms, organize catering, register guests, and prepare materials.
Compliance Adherence: Ensure all actions comply with company regulations, securing necessary approvals.
Team Integration: Actively participate as an integral team member, maintaining awareness of team priorities and support needs.
Administrative Duties: Perform general administrative tasks such as answering phones, time entry, copying, scanning, archiving, and managing ad hoc projects as required.
Skills and Qualifications
Experience: Previous experience as an Administrative Assistant in a financial services or corporate environment.
Organizational Skills: Ability to multitask, prioritize effectively, and follow up on outstanding items.
