We are seeking a detail-oriented and customer-focused Dental Office Coordinator to join our team. In this role, you will be responsible for managing the administrative operations of our dental office, ensuring efficient patient flow, and delivering exceptional service. The Dental Office Coordinator will handle a variety of tasks, including submitting dental claims to insurance companies, scheduling appointments for patients, and processing payments.
Key Responsibilities:
Submit Dental Claims: Prepare and submit accurate dental claims to insurance providers. Follow up on pending claims and resolve any discrepancies or issues related to insurance billing.
Schedule Appointments: Coordinate patient appointments based on availability, ensuring optimal scheduling for both patients and dental providers. Communicate appointment details, confirmations, and reminders to patients.
Collect Payments: Process patient payments for services rendered. Assist patients with understanding their billing statements, including insurance coverage, copays, and outstanding balances.
Insurance Verification: Verify insurance coverage and benefits prior to appointments and inform patients of their coverage details.
Patient Communication: Provide excellent customer service, answer patient inquiries via phone, email, or in person. Address patient concerns related to billing, appointments, and insurance.
Record Management: Maintain accurate patient records and update information as needed in the practice management software.
Administrative Support: Assist the dental team with other administrative tasks such as filing, organizing patient charts, and ensuring the office runs smoothly.
Qualifications:
Education: High school diploma or equivalent required. An associate degree in healthcare administration or a related field is preferred.
Experience: At least 1-2 years of experience in a dental office or healthcare setting is preferred. Pay is based on experience.
Technical Skills: Proficient in dental practice management software (We use Oryx) and basic office software (e.g., Microsoft Office, Google Workspace).
Knowledge of Insurance: Familiarity with dental insurance processes, claim submission, and understanding of common dental insurance plans.
Attention to Detail: Strong attention to detail, particularly when submitting insurance claims and processing payments.
Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with patients, insurance companies, and team members.
Multitasking: Ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
Team Player: Ability to work collaboratively with the dentist, hygienists, and other office staff to ensure a smooth and efficient office operation.
Preferred Qualifications:
Certifications: Dental Assistant Certification, Medical Billing and Coding Certification, or similar credentials are a plus.
Languages: Bilingual (English/Spanish) is a plus and will result in a higher starting pay.
