About the Role

I am an entrepreneur with a diverse portfolio of businesses, including a merchant processing company, coffee shops, and nonprofit organizations. I am seeking a highly skilled and proactive Executive Assistant to support me directly across all aspects of my work. This is a unique opportunity to work in a dynamic, fast-paced environment where no two days are the same. The role spans multiple industries and ventures, requiring exceptional organizational skills, professionalism, and the ability to manage competing priorities.

Key Responsibilities
  • Schedule Management: Oversee and coordinate my daily calendar, including business meetings, travel arrangements, and personal commitments.
  • Communication: Serve as the primary point of contact for internal and external communications, including email and phone correspondence.
  • Administrative Support: Manage administrative tasks such as preparing documents, reports, and presentations for various business and nonprofit initiatives.
  • Project Coordination: Track and manage key deadlines and deliverables across multiple businesses and ensure tasks are completed on time.
  • Expense and Budget Management: Prepare expense reports and assist in managing budgets for specific ventures as needed.
  • Confidentiality: Handle sensitive information with discretion and maintain the highest level of professionalism.
  • Cross-Business Collaboration: Liaise with team members from different businesses and nonprofits to ensure smooth operations and communication.

Qualifications
  • Previous experience as an executive assistant or in a similar role supporting high-level executives.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with other productivity or project management tools is a plus.
  • Ability to work independently and solve problems proactively.
  • Experience managing budgets and tracking expenses.
  • High level of professionalism and discretion when handling sensitive information.
  • A Bachelor's degree is preferred but not required if you have equivalent experience.
