Key Responsibilities

Executive Organization

Manages schedules for company executives
  • Skillfully schedules meetings, appointments, and events
  • Handles incoming or outgoing mail
  • Schedules executive meetings on or off-site
  • Participates as an adjunct member of the Executive Team

Travel Arrangements

  • Manages executive travel logistics and activities, including accommodations, transportation, and/or meals, as requested.

Conferences & Memberships

  • Manages conference registration, hotel bookings and attendee list(s)
  • Ensures flights are booked for conference attendees across the organization
  • Ensures all industry related memberships are up-to date and current
  • Works alongside Marketing and Sales to order booth supplies and/or scheduling shipment of supplies to conferences

Office Duties

  • Ensures office supplies are ordered routinely
  • Organizes team communications for off and on-site company events
  • Manages office operations by ensuring a well-organized and efficient work environment

Other

  • Gathers information through reports to aid Marketing in creating internal newsletters
  • Orders apparel for executives and sales team
  • Coordinates holiday gifts
  • Coordinating hardware orders and setup
  • Plans year-end client gifts
  • Handles vendor relations and billing

Skill Requirements

  • High School or college diploma
  • Strong work tenure with 5+ years of experience supporting C- level and Director level positions
  • Proficiency in Microsoft 365 suite
  • Calendar & email management Presentation design and executive meeting support
  • Expert level written and verbal communication
  • Highly resourceful and with the ability to work independently
  • Proven ability to achieve performance goals and meet deadlines in a fast-paced environment

  • Adept in communication styles across diverse audiences
  • Building rapport with stakeholders and colleagues
  • Critical thinking by anticipating challenges and offering reasonable solutions
  • Maintains utmost confidentiality with executive team

  • Extremely detail oriented, (gets things right the first time)

Compensation and Benefits:
  • Compensation: $60,000- $70,000 per year
  • Benefits include: Health Insurance, PTO, 401k + Matching, Hybrid work opportunities
