Job Summary:

Ascension Capital Advisors, a top 20 independent RIA firm in Houston, is seeking a highly organized and detail-oriented Administrative Assistant to support the company's president, managing director, and other executives. The Administrative Assistant will be responsible for managing daily administrative tasks, coordinating schedules, and supporting business and personal activities. This role requires a high degree of professionalism, discretion, and a commitment to the company's core values of compassion, accountability, service, integrity, and excellence.

Key Responsibilities:
  • Serve as the primary point of contact, controlling access to executives.
  • Assist with time management, scheduling, and prioritizing key tasks.
  • Coordinate daily calendars, emails, and weekly agendas.
  • Plan and prepare for meetings, including booking facilities and refreshments.
  • Manage correspondence, draft communications, and prepare reports.
  • Handle travel arrangements, appointments, and personal care scheduling.
  • Support client meetings, including taking and recording notes in client files.
  • Maintain and update the Customer Relationship Management (CRM) system.
  • Execute administrative duties such as copying, scanning, and document organization.
  • Run personal errands and handle personal shopping and gift orders.
  • Coordinate shipping, deliveries, and office supply orders.
  • Plan events and organize personal and business-related activities.

Requirements:
  • College degree preferred.
  • Strong organizational, time management, and multitasking skills.
  • Advanced proficiency in Microsoft Office 365 (Outlook, Word, Excel) and other software.
  • Excellent written and verbal communication skills.
  • High level of integrity, loyalty, and discretion with confidential matters.
  • Reliable vehicle, valid driver's license, and clean driving record.
  • Ability to thrive in a fast-paced, dynamic work environment.
