Job Description:

We are seeking a highly organized and detail-oriented Executive Assistant/Business Manager to provide comprehensive support to C-Suite Executive and manage key business operations. This hybrid role combines high-level executive support with business management responsibilities to ensure the efficient operation of the office and the achievement of strategic goals.

Key Responsibilities:

Executive Support:
  • Act as the primary point of contact for the executive, managing communications and correspondence with internal and external stakeholders.
  • Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare high-quality presentations, reports, and documentation for meetings.
  • Coordinate and attend meetings, taking minutes and ensuring timely follow-up on action items.
  • Handle confidential information with discretion and maintain the highest level of professionalism.

Business Management:
  • Oversee day-to-day business operations, including workflow coordination, process improvement, and resource allocation.
  • Monitor budgets, prepare financial reports, and manage expense tracking for the department.
  • Liaise between departments to facilitate collaboration and ensure alignment with business objectives.
  • Manage special projects and initiatives, ensuring timely and successful completion.
  • Develop and implement administrative systems to streamline operations.
  • Supports corporate purchasing initiatives

Office and Team Support:
  • Supervise administrative staff, where applicable and delegate tasks as needed.
  • Organize team events, retreats, and other team-building activities.
  • Ensure office compliance with company policies and procedures.

Qualifications:

Education and Experience:
  • Bachelor's degree in business administration, Management, or a related field.
  • MBA preferred
  • Government Contract experience preferred
  • 8+ years of experience as an Executive Assistant, Business Manager, or in a similar role.

Skills and Competencies:
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, project management software, and CRM tools.
  • Analytical mindset with the ability to manage budgets and financial reports.
  • Proven ability to handle multiple priorities and work under pressure.
