Position Summary:

We are looking for a highly organized and dynamic professional to join our team as an Office Manager. This role will provide executive support to senior leadership, manage our social media presence, coordinate our participation in professional associations and industry events, and include office administrative responsibilities. The ideal candidate is detail-oriented, proactive, and capable of multitasking in a fast-paced environment.

Responsibilities:

  • Provide high-level administrative support to senior leadership, including scheduling meetings, managing calendars, and handling correspondence.
  • Prepare meeting agendas, presentations, and reports.
  • Oversee daily office operations to ensure smooth functioning.
  • Maintain office supplies and coordinate with vendors and service providers as needed.
  • Manage front desk responsibilities.
  • Coordinate and track RMA's sponsorship activities, ensuring all benefits are fully utilized.
  • Manage relationships with event organizers to enhance RMA's visibility and engagement.
  • Act as the main Point of Contact for all associations.
  • Coordinate RMA's participation in professional association activities, including national and local events.
  • Support marketing efforts such as creating flyers and developing presentations.
  • Managing publications.
  • Manage all logistics to ensure successful participation in events and conferences.
  • Coordinate booth setup, speaker arrangements, registration, catering, audiovisual needs, and on-site logistics.
  • Represent RMA at events, including attending the booth and reception duties.
  • Manage and maintain the company's presence on various social media platforms.
  • Develop and post engaging content aligned with company goals and branding.
  • Monitor social media engagement and provide insights for improvement.
  • Plan and execute social media marketing campaigns to achieve specific goals to include lead generation, product promotion, or brand awareness.

Qualifications:

  • Ability to work independently and collaboratively within a team, showing a positive attitude and strong work ethic.
  • Experience in event/conference planning and execution.
  • Detail-oriented with the ability to manage multiple tasks simultaneously.
  • Proficiency in social media management.
  • Knowledge of graphic design principles is a plus.
  • Previous administrative experience is highly recommended.
  • Creativity and ability to generate engaging content.
  • Proficient in Microsoft Office Suite (Outlook, Teams, Microsoft applications and tools).
  • Ability to interact professionally with leadership, team members, clients, and external stakeholders.
  • Demonstrated time management and organizational skills.
  • Team player who enjoys daily interactions with employees.
  • U.S. Citizenship required.
