Job Summary:
The Human Resources Onboarding Specialist serves as a key point of contact for incoming new hires and internal transfers, ensuring a smooth and efficient onboarding process. With a strong focus on service excellence, the specialist is responsible for collecting necessary documentation, processing onboarding transactions, and ensuring new hires are cleared for employment.
The position requires close coordination with recruiters, HR departments, and external stakeholders, including background checks and licensing verifications. The specialist is responsible for onboarding approximately 30 new hires per week, using tools like Sterling for background screenings and ATS systems for finalizing the hiring process. This role requires a strong HR administrative background and a commitment to delivering exceptional service.
Specific tasks include:
Welcome new hires via telephone and email, outlining onboarding requirements and next steps.
Managing the onboarding task for 30 people weekly.
Assist new hires with completing HR-related forms and applications. Motivate candidates to complete steps promptly.
Collaborate with recruiters and team members to gather necessary onboarding documentation. Act as the liaison between the recruitment team and finalizing the hiring process in the ATS system Gather and review incoming client legal documents for accuracy and completeness
Run and monitor backgrounds via Sterling following up on licensing, documentation, assessments to ensure clearance in a timely manner, communicating all results to management
Process HR transactions related to personal information, job details, and performance management.
Administer and support assigned HR programs, ensuring smooth execution.
Update HRIS with accurate data and generate reports as needed.
Recommend process improvements to enhance efficiency and streamline onboarding.
Track onboarding trends, participate in meetings, and assist with departmental goals and special projects.
Qualifications:
1-2 years of HR onboarding experience is required
Knowledge of the Sterling background system, or similar
High volume onboarding experience
Ability to provide exceptional customer service, responding to inquiries and resolving concerns in a timely manner.
Ability to maintain confidentiality and professionalism while handling sensitive information.
Ability to work independently in a fast-paced environment
