About the company Growing alternative investments firm has an exciting opportunity for an administrator with approximately 1-4 years of relevant experience. They have approximately 3 EAs on staff, an Office Manager, and another Floater EA on board already- and this is an amazing team- bright, dedicated, warm, and able to mentor a strong junior EA or Admin with potential. While the firm has a hybrid model, this role will require some coverage of other roles, so there will be some weeks requiring more days in office- this is a role for someone whose priority is the role and the team, and not for someone with very strict limits on days in office- though generally it will average to 3 days weekly in office. It's a dynamic, fast-moving environment where the executives and back to back in meetings daily, schedules change frequently, they work with high profile investors, and they do significant domestic travel, so it's a fantastic environment to learn in and to grow within for someone wanting to be associated with a top tier firm.
What you'll do: you'll grow your capabilities in this diverse role that encompasses a mix of administrative and project work and will work across all areas of the firm. You'll have a core of your own 3 people to support - that's 2 light touch executives, plus one part time consultant and you'll also to provide back up support/ coverage for the firm's Executive Assistants at the Partner level, and to their Office Manager. This is a great way to gain a skill set to support different types and levels and various functions, and to learn how you want to focus your work moving forward. You'll be encouraged to raise your hand to take on work that aligns with your interests- for example, the more recent person in this role was helping with human resources and recruiting projects. Administrative responsibilities will include light calendar, travel and meeting management for the 3 folks in your core support and then, in your coverage capacity for the Partner's as needed it will be complex and constantly changing calendar management, meeting management, travel and expense coordination, staying two steps ahead to anticipate scheduling conflicts and any other issues. You will monitor all flights and will monitor the Partner's email inbox and update their contacts within their CRM system as needed. A couple days per month you'll back up the Office Manager, which means an earlier arrival (more like 8/8:15 a.m. on those days vs. their typical 9-5) and running point those days on dealing with vendors, deliveries, visitors to the office, etc. It's a chance to have some intense days and weeks, and some that are more laid back!
About you: Ideally, you will have 1-4 years of administrative support experience out of an investment firm, or alternative investment firm setting. You're experienced with booking domestic travel, meeting management, expense reporting, juggling executive priorities to some extent, and proficient with MS Office. You would love to work in the Back Bay 3+ days per week (3 on average) and would welcome becoming part of an exceptionally welcoming admin team environment, with growth opportunity over time to a more focused Partner level support role. You welcome the work/ life balance inherent in this 9-5 role and the cycle of some lighter days and some more intense days. We know a few people here and they all love it!
