JOB DESCRIPTION:

Air Journey is searching for their next Flight Coordinator for our small-group itineraries to join our Flight Department. As a Flight Coordinator, you will be tasked with creating and implementing all aviation-related aspects of our journeys. You will oversee the entire journey, from start to finish, serving as the primary contact for our clients and vendors to ensure seamless travel for all. THIS JOB IS ON SITE IN PALM BEACH GARDENS, FL.

To be successful, the Flight Coordinator will combine multi-tasking, attention to detail, and creativity, with first class service skills. This position requires a strong knowledge of aviation and requires experience in managing multiple projects.

RESPONSIBILITIES:
• Coordinate with and support flight crews in the planning of predominantly international flights.
• Arrange for and coordinate airport arrivals, FBO services and aircraft handling with suppliers.
• Ensure required trip sheets and all other trip documents are sent to and received by appropriate departments.
• Obtain and arrange for international permits, overflight permits, customs, immigration, and eAPIS manifests for all flights as required.
• Ensure that the appropriate fuel discount program is used at each destination, on a per trip basis.
• Ensure client satisfaction during the full length of trip.
• Negotiate and authorize prices and contracts with clients and suppliers.
• Ensure safety procedures for each trip.
• Ensure that all documents for each flight are complete, confirmed and reconfirmed.
• Work with FBO handlers to obtain discounted and/or preferential pricing for services provided for our clients and monitor the performance of the handlers.
• Develop close relationships with handlers to ensure proper service to our clients.
• Resolve any client issues or disputes.
• Monitor weather or any situations that can affect clients' scheduled flights daily and work with staff to re-route or reschedule flights as necessary.
• On-call after hours availability in rotation with colleagues, including weekends and holidays as needed.

SKILLS & ABILITIES:
• Experience in Private Aviation preferred.
• Proven technical, analytical, and problem-solving skills.
• Private pilot license / IFR rating preferred.
• Detail orientated a must.
• Excellent verbal and communication skills.
• Strong organizational skills with ability to prioritize.
• Proficiency in Excel, Word and PowerPoint a must.
• Ability to adjust to changing priorities and handle multiple assignments at once in a fast-paced environment.

EDUCATION AND EXPERIENCE:
• Bachelor's degree in an aviation related field.
• Strong computer skills a must
• Proficient in Word, Excel, PowerPoint
• Experience with Foreflight is a plus

Job Type: Full-time

Pay: $55,000.00 - $60,000.00 per year
