We are searching for an entrepreneurial Executive Assistant to provide administrative support to the CEO of a luxury fashion brand. The Executive Assistant will serve as a first point of contact for matters related to the executive leadership. This role will liaise and maintain strong and effective communication within external vendors, creative department, retail and corporate leadership. As an integral team member, the Executive Assistant supports a wide-range of tasks, activities and projects that fuel the performance, organization and overall cadence of the executive offices of the company.
Responsibilities:
Support CEO through the ongoing management and monitoring of inbound and outbound email activity. Read and route correspondence as needed.
Maintain executive's appointment schedule by planning and scheduling meetings, events and travel. Ensure that meetings are scheduled according to priority and importance. Protect the company and executive team by maintaining confidentiality at all times.
Arrange internal meetings with leadership. Develop itineraries and agendas to ensure efficiency of time invested.
Drive the coordination and preparation of reports, presentations and other communications.
Execute projects and special assignments by establishing objectives, determining priorities and managing timelines. Create status reports and general tracking mechanisms to ensure achievement of objectives through a detailed approach to task execution.
Handle day-to-day operations and specific tasks in a fast-paced environment with a high level of professionalism and attention to detail.
Support the leadership with personal administrative tasks ranging in level of complexity, sensitivity and priority.
Manage reconciliation of payment, invoices and other booking tasks
Requirements:
2+ years of executive support experience with C-suite leadership in a high-performance culture. Strong business acumen with a flexible and adaptive approach in response to ever changing team needs. Provide professional customer service in order to interact with a full range of stakeholders, including board members, investors and executives.
Excellent oral, written, interpersonal communication, organization and time management skills. Strong critical thinking and decision-making skills.
Hospitality or Fashion experience highly preferred
Proficiency in Microsoft Suite including Outlook, Excel & PowerPoint.
Experience managing travel, logistics and complex meetings.
