Our client is seeking a dedicated and detail-oriented Payroll Administrator to join their team. In this role, you will be responsible for managing the preparation, documentation, distribution, and reconciliation of payroll across multiple states and companies, ensuring timely and accurate processing. You will also oversee various payroll components, such as bonuses, commissions, benefits, disability pay, overtime, and more.
Key Responsibilities:
Accurately prepare and distribute payroll for both hourly and salaried employees, adhering to established deadlines.
Review payroll computations and associated deductions for accuracy.
Administer and maintain records within the UKG/Ultipro timekeeping system, ensuring accurate timekeeping data.
Handle payroll-related inquiries, providing clear explanations of policies and how they affect pay.
Maintain confidentiality and security of all payroll and employee records.
Monitor changes in local, state, and federal payroll legislation and ensure compliance.
Manage and distribute employee direct deposit vouchers and paychecks within established timeframes.
Resolve payroll discrepancies and escalate issues as needed for quick resolution.
Process and track 401(k) plan investment records and assist with relevant documentation.
Maintain accurate employee records in both digital and paper formats.
Collaborate with HR and HRIS teams to streamline payroll processes and improve operational efficiency.
Develop job aids, procedures, and calendars to enhance understanding and consistency of payroll processes.
Audit, complete, and file payroll reconciliation reports in collaboration with the accounting team.
Scan and index documents into the company's imaging system.
Support additional departmental tasks as required, such as preparing reports or participating in projects.
Requirements:
Minimum of 3 years of multi-state payroll experience, with expertise in UKG/Ultiprorequired.
Strong professionalism and confidentiality in handling payroll and employee information.
Proficiency in MS Word, Excel, and Outlook.
Experience with payroll tax calculations and related compliance.
APA (American Payroll Association) Certification is a plus.
Knowledge of best practices for payroll processes and an ability to implement them.
Fluent in English (written and verbal); bilingual (English/Spanish) is highly preferred.
A strong willingness to learn, grow professionally, and work collaboratively with the team.
College coursework in accounting or finance is preferred but not required.
