We are seeking an Executive Assistant to provide high-level administrative support to the CEO of a dynamic, international SaaS company. The ideal candidate will have exceptional organizational skills, a proactive attitude, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
Schedule and manage executive appointments, meetings, and travel arrangements
Act as the main contact between the CEO and stakeholders, including clients, staff, and board members
Draft, review, and manage various forms of correspondence, including emails, memos, and reports.
Prepare materials for meetings, draft agendas, take minutes, and ensure follow-up actions are completed
Arrange domestic and international travel, including bookings and itineraries
Track and manage expenses and prepare reimbursement reports
Handle sensitive information with discretion and maintain confidentiality
Assist with special projects, presentations, and research as needed
Organize and maintain both digital and physical files to ensure accessibility and up-to-date records
Help plan and coordinate executive level events and offsite activities
Manage the CEO's time effectively by filtering non-essential tasks and delegating where appropriate
Qualifications:
Bachelor's Degree
5+ years of experience as an executive assistant support C-level executives
Excellent verbal and written communication skills
Strong organizational and multitasking abilities
Proficiency in Microsoft Office Suite
Ability to manage multiple tasks simultaneously and prioritize effectively
Strong attention to detail and accuracy
Ability to work independently and take initiative
Demonstrated ability to handle confidential information with discretion
Details:
Location: This position does offer remote/hybrid flexibility but candidates MUST be located in the Phoenix, Arizona area
Salary: $90k - $120k
