We are seeking a professional and detail-oriented Receptionist to manage front desk operations and support office administrative functions. The ideal candidate will have excellent organizational skills, a welcoming demeanor, and the ability to multitask effectively in a dynamic office environment.
Key Responsibilities:
Reception and Hospitality:
Greet visitors and guests, providing a warm and professional welcome.
Offer beverages and ensure a positive guest experience.
Answer and route calls on a multi-line telephone system promptly and professionally.
Prepare and maintain conference rooms, break areas, and coffee stations.
Coordinate food and beverage arrangements for meetings.
Office Operations:
Monitor and manage office and kitchen supplies; track inventory, place orders, and restock as needed.
Handle incoming and outgoing mail, including overnight packages; arrange courier services and daily drop-offs.
Provide general support to office management and staff as required.
Records Management:
Organize, index, and maintain both physical and electronic files, ensuring accessibility and confidentiality.
Manage document storage systems, create new files, and re-shelve materials in compliance with office procedures.
Coordinate the transfer of files to off-site storage as needed.
Other Duties:
Assist with ad-hoc administrative tasks and special projects as assigned.
Qualifications:
Proven ability to maintain punctuality and reliable attendance.
Proficient typing skills (minimum 45 WPM).
Strong interpersonal communication skills to interact professionally with clients, staff, and vendors.
Familiarity with office equipment such as computers, transcription devices, copiers, and fax machines.
Proficiency in Microsoft Word, Outlook, and document management systems.
Valid driver's license for occasional errands or drop-offs.
Compensation:
Hourly rate: $20.00 - $23.00, based on experience and qualifications.
