This Office Administrator will support a large corporate office in the Antioch, CA area. This person will perform administrative duties as well as reception duties, sitting at the front-desk of the office suite. This is a long-term permanent contract-to-hire position that will begin as a contract and is intended to convert to direct employment after 6-12 months. This office has also recently gone through a move to a new building/office location, so help with organization following the move can be expected. Other duties include:
- Greet any visitors including stakeholders and global executives as the first face they see coming into the office suite
- Ensure proper security access to visitors
- Handle any deliveries
- Supplies and inventory management, for example ordering supplies and snacks and organizing them in the office appropriately
- Facilities support, for example calling a plumber or repairman as needed
- Support for AP processes (AP duties not included, but they will prepare AP info to go to a third party finance team to prevent AP rejections)
- Preparing the office, catering, conference rooms etc. for visits from Executives
- Support organization and documentation for a fleet of about 14 vehicles
- Coordinate with security and IT for key card access for any new hires
- Any other ad hoc administrative support duties that arise
Pay will vary based upon individuals' relevant experience and background across a range of $60,000-$70,000 annually. Benefits include health, dental, vision, and 401K.
Minimum Requirements:
3+ years of experience working as an office administrator or office manager or similar role
Must have experience as an administrator for a large corporate office environment, rather than a small office
Experience interfacing with all corporate levels of employees including executives
Experience supporting an office as an entity, rather than an individual or small group in a strictly executive admin role for example
Experience supporting facilities maintenance for the office
Experience with AR and expenses
Experience with Microsoft Teams
Experience using Oracle is preferred but not required Oracle
