Job Summary: We are seeking a highly organized and proactive Office Administrator to join our team at a new construction build site. The ideal candidate will be responsible for managing office operations, supporting project managers, and ensuring smooth communication between the construction team and external stakeholders.
Key Responsibilities:
Office Management: Maintain a well-organized office environment, including ordering supplies, managing office equipment, and ensuring cleanliness.
Administrative Support: Provide administrative support to project managers and construction staff, including scheduling meetings, preparing documents, and handling correspondence.
Communication: Serve as the primary point of contact for internal and external communications, including answering phone calls, responding to emails, and coordinating with vendors and subcontractors.
Document Control: Manage and organize project documentation, including contracts, permits, and blueprints. Ensure all documents are up-to-date and easily accessible.
Data Entry: Accurately enter and maintain project data in relevant databases and software systems.
Scheduling: Assist in scheduling and coordinating meetings and site visits.
Financial Administration: Handle basic financial tasks such as processing invoices, tracking expenses, and assisting with budget management.
Health and Safety Compliance: Ensure compliance with health and safety regulations by maintaining records and coordinating safety training sessions.
Visitor Management: Greet and assist visitors to the construction site, ensuring they follow site protocols.
Qualifications:
Proven experience as an Office Administrator, Administrative Assistant, or similar role.
Excellent organizational and multitasking abilities.
Strong communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Knowledge of construction industry practices and terminology is a plus.
Ability to work independently and as part of a team.
High school diploma or equivalent; additional qualifications in office administration or related field are preferred.
Working Conditions:
This position is based onsite at a construction build, requiring adherence to safety protocols and the ability to navigate a construction environment.
Compensation:
Up to $30 hour. Exact compensation may vary based on several factors, including skills, experience, and education.
