You'll answer calls, greet guests, coordinate conference rooms, set up catering, and assist our executives and attorneys with travel arrangements-basically, you'll be the backbone of our office operations, making sure everything runs smoothly. Shift: 8:30am - 5:30pm; Monday - Friday
Pay - Rate: $28 - $30/hr
Essential Job Functions:
Greet and assist visitors, clients, and employees, providing a friendly and welcoming experience.
Answer and direct phone calls to appropriate departments or take accurate messages.
Coordinate conference room bookings, ensuring rooms are set up for meetings and events.
Order, set up, and clean up catering for meetings and events, ensuring everything runs smoothly.
Load dishwashers after meetings have been completed
Support executives and attorneys with travel arrangements, including booking flights, transportation, and accommodations.
Run errands as necessary to support executives and attorneys.
Sort, distribute, and manage incoming mail and packages, ensuring proper handling and delivery to relevant teams.
Maintain office supplies, restocking pantries and office supply rooms to keep the office running efficiently.
Reload printers with paper and keep track of office equipment and supply needs.
Monitor internal facility issues, reporting problems to management for timely resolution.
Maintain office security protocols, verifying visitor IDs and ensuring a safe and secure work environment.
Assist with office safety drills and procedures
Participate in training programs to continuously improve knowledge and skills.
Position Requirements/Experience/Education:
Education: High school diploma or equivalent (college degree preferred)
Experience: At least 1 year of experience in a receptionist or administrative support role
Skills:
Proficiency in Microsoft Office and other office tech
Excellent written and verbal communication skills
Strong attention to detail and organization
Ability to multitask and stay flexible in a fast-paced environment
