This position assumes a critical role in planning and executing the strategic direction and initiatives for the payroll function, including process efficiencies and system enhancements. Upholds high standards of professional practice. Leads the Payroll Team responsible for processing payroll cycles in compliance with federal, state, and local laws. Processing includes all related documentation such as W-2s, state withholding forms, reports, and payroll registers. Oversees administration related to the Company's timekeeping system.
Responsibilities
Leads a team processing payroll cycles and related documentation (e.g., W-2s, state withholding forms, reports, payroll registers, etc.) in compliance with federal, state, and local laws.
Actively participates in the progression of the Company; provides leadership in support of company initiatives and objectives.
Supervises Payroll Team in accordance with the Company's financial policies and accounting practices; maintains a workplace conducive to a positive employee experience, department productivity, and financial accuracy.
Creates and fosters a Payroll Team that provides helpful and friendly internal customer service to all team members with questions or who need assistance.
Maintains knowledge of existing and new payroll related legislation; enforces adherence to requirements; advises management on needed actions.
Oversees administration related to the Company's timekeeping system.
Evaluates and analyzes existing payroll policies, procedures, and systems, and recommends, implements changes, and/or quality control measures.
Partners with Finance & Accounting Department to post journal entries and coordinate payroll accounting reconciliations.
In collaboration with Human Resources Department, ensures payroll systems are configured and updated to reflect current employee data, including wages, deductions, time-off accruals, garnishments, etc.
Determines and reconciles payroll liability.
Resolves any payroll discrepancies and keeps a balance of payroll accounts.
Oversees the completion of internal and external payroll tax and accounting audits.
Furnishes and files tax forms to employees and with the Internal Revenue Service (IRS).
Ensures compliance with all applicable country, federal, state, and local regulatory reporting requirements and guidelines, and with all internal policies, procedures, and internal controls.
Upholds all Tom Douglas Restaurant policies and procedures; adheres to all applicable local, state, and federal laws.
Other responsibilities as assigned by the Director of Finance.
Qualifications
Bachelor's Degree in Business Administration, Finance, Accounting, or related field.
Extensive knowledge of payroll function including preparation, balancing, internal control, and payroll taxes.
Minimum five years payroll experience in the restaurant and hospitality industry with round-the-clock, hourly workforce organization required.
Minimum two years management/supervisory experience.
Certified Payroll Professional (CPP).
Ability to build and sustain effective relationships with peers and senior leadership.
Working knowledge of payroll systems; experience implementing new systems preferred.
Toast HR/Payroll and Toast POS experience preferred.
Excellent computer skills; must be proficient in MS Office.
Attention to detail and exceptional organizational skills a must.

Proven history of analyzing numerical data with an ability to maintain a big picture focus.
Superior oral and written communication skills.
