The Executive Assistant and Special Projects Coordinator is responsible for directly assisting the Philadelphia office's Managing Partner and other senior management team members with legal and administrative functions.This role also contributes to the overall high quality of service and experience the Managing Partner and Philadelphia team provides to clients. The Executive Assistant and Special Projects Coordinator is required to be in-office at least four times per week.
Duties & Responsibilities:
Assist in preparing case reports for to clients.
Ensure reporting is completed timely, including following processes defined by clients.
Track case data and analytics for the office's Managing Partner.
Prepare and distribute administrative documents, including reports and other communications to attorneys and staff.
Anticipate and address issues as they occur with the ability to independently problem-solve and adapt to the situation at hand.
Provide support to ensure a smooth operating and communicative administrative team.
Coordinate meetings on behalf of the Managing Partner.
Maintain knowledge and expertise supporting complex commercial litigation, state and federal court filings, calendaring, and service of pleadings and documents.
Liaise with firm's Director of Operations and other administrative team leads and department heads to ensure facilitate clear communications between and among offices and departments on behalf of the Philadelphia office.
Arranging travel for the office's Managing Partner to courts and client events nationwide.
Foster a positive and collaborative work environment among attorneys and staff across firm offices.

Education & Experience:
College degree preferred
Five years' experience in administrative support of litigation practice preferred
Physical Requirements:
Prolonged periods of sitting or standing at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
