Well-Known Global Alternative Asset Manager/Private Equity Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Assistant to support the COO leadership team within the Global Wealth Management Solutions and Client & Product Solutions groups. This person will primarily support two C-level Executives with light support for one Analyst. The position is open as the person in this role is being promoted! Candidates must have a minimum of 5+ years of applicable experience supporting top-level executives within financial services (private equity preferred) and a Bachelor's degree is required. Ideal candidates should have heavy calendar management and excellent follow up skills and be accustomed to working in a fast-paced, ever-changing environment. They should be extremely polished, client-facing, professional, proactive, detail-oriented, organized, and possess top notch interpersonal and communication skills (both verbal and written). Salary depends on experience (100-125k base), plus BUILT-IN paid overtime and discretionary bonus eligibility (all in compensation package approx. 170-175k).
Hours are 9:00am-6:00-pm, with flexibility. Hybrid work schedule (4 days in office / 1 day remote).
Responsibilities:
Provide high-level executive administrative support to the COO leadership team within the Global Wealth Management Solutions and Client & Product Solutions groups. Responsibilities include, but are not limited to, general administrative and project-based work. The position may also require providing additional support to other members of the group.
Responsible for extensive calendar management - daily management of scheduling and rescheduling appointments, communicating to attendees, exercising a flexible approach to changing schedules, ensuring appointments are met, etc.
Prioritize conflicting needs; handle all matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
Arrange complex travel plans (commercial/private) and compose detailed itineraries.
Schedule and organize meetings, conferences, and off-site events, including all related logistics.
Update and maintain information in Salesforce and run reports as needed.
Prepare agendas, board materials, memos, and routine correspondence.
Allocate business invoices using PeopleSoft system as needed, reconcile and complete expense reports in a timely manner, including American Express and out of pocket expenses using Concur expense system.
Coordinate and/or lead ad hoc projects, as requested.
Handle recruitment coordination and logistics for new employees on the team.
Coordinate closely with other assistants to provide phone coverage and back-up assistance.
Manage work priorities independently and respond to business outside of normal business hours as needed.
Work closely and effectively with Executives to complete critical aspects of deliverables with a hands-on approach, including keeping them well informed of upcoming commitments and responsibilities, following up appropriately, drafting personal correspondence, and handling other tasks that facilitate the Executives' ability to effectively lead the groups.
Required Qualifications:
Minimum 5+ years of applicable top-level executive administrative support experience, ideally within financial services (private equity preferred).
Experience in the finance industry highly preferred.
Bachelor's degree required.
Strong initiative and ownership of responsibilities - must demonstrate a proactive, positive approach towards given tasks.
Superior level of client-service orientation.
Exemplary interpersonal skills necessary to handle sensitive and confidential situations, demonstrating poise, tact, and diplomacy.
Exercises the highest-level of confidentiality, discretion, integrity, and trustworthiness at all times.
Superb written and verbal communication skills.
Extremely organized and detail-oriented with strong commitment to accuracy.
A team-oriented and collaborative attitude is a must.
Extensive knowledge of Microsoft Outlook and proficiency in Excel, Word, and PowerPoint; CRM experience a plus.
