Travel and Meetings: Arrange travel itineraries, prepare meeting materials, and track action items for follow-up.
Workspace Coordination: Oversee the organization of office conference rooms, common areas, and kitchen spaces to ensure a professional and welcoming environment.
Event Planning: Organize and coordinate events, including board meetings, offsite retreats, and team kickoffs (local and remote locations).
Stakeholder Collaboration: Build and maintain strong relationships with internal and external stakeholders through effective communication and collaboration.
Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
Independent and Team Work: Operate independently while collaborating with team members to address shifting priorities.
Administrative Tasks: Process and approve expense reports and reimbursements.
Personal Assistance: Dedicate 5-10% of time to personal assistant duties, including managing personal meetings and travel for executives.
Event Support Travel: Occasionally travel to support company-wide events.
Social Media Writing: Creatively draft content for LinkedIn and other social media platforms as a "ghost" writer.
Qualifications:
1-2+ years of experience in a high-growth technology company, private equity, or consulting firm, with a background in supporting C-level executives.
Exceptional attention to detail and organizational skills, with the ability to multitask and prioritize in a fast-paced, dynamic environment.
Strong planning and forward-thinking skills, coupled with excellent time management abilities.
Proficiency with Office apps and tools like ChatGPT.
Flexibility to adjust work hours to support executives in different time zones or while traveling.
Outstanding written and verbal communication skills.
