Our client is a venture firm located in Palo alto seeking a full time Receptionist/Office Administrator responsible for representing the Company at the corporate headquarters' main reception desk while monitoring phones and greeting clients and guests. This role will lead the Administrative Services Department's office operations and is responsible for providing comprehensive administrative support to the daily operations of the office while ensuring excellent customer service.
Responsibilities: • Responsible for opening and closing procedures for the front desk/office, and acting as the face of the company by monitoring and directing calls promptly and greeting guests while building rapport to ensure a pleasant, professional service. • Maintains the reception area, lobby, stock room, break rooms, and conference rooms to project a professional and welcoming appearance at all times. Coordinates with outside vendors for office maintenance and upkeep including water delivery, shredding and storage services, plant services, and fish tank maintenance services. • Orders all office supplies and daily staff lunches, and ensures refreshments are available as needed for employees and guests. • Accepts and distributes all incoming mail and courier deliveries, and ensures all outgoing mail and packages are posted and picked up by couriers in a timely manner. • Assists with administrative projects as needed; i.e. creating miscellaneous Excel, PowerPoint, and Word files to support departments. • Assists with special projects and meetings to help ensure the department's daily operational functions run smoothly.
Qualifications: • Associate or Bachelor's degree preferred • 1 year of customer service/administrative assistant/office administration experience • Microsoft Office skills including Word, Excel, and PowerPoint required • Excellent written and verbal communication skills required
Our client currently operates a hybrid work schedule of 3 days per week in the office and 2 days remote. Lunch is provided by the company for the three days in the office.
