Job Description:
Duties & Responsibilities:
- Front Desk Representative
o Greet Visitors with a warm, friendly welcome
o Escort Visitors to and from our office spaces (3rd & 4th Floors) from the front lobby
o Determine the nature & purpose of the visit and direct visitors to the correct destination
o Coordinate catering, coffee, or other special accommodations if necessary
o Process mail 3x per week
§ Sort & deliver packages to employees
§ Redirect mail to satellite offices as needed
§ Provide support to Finance Department with check mailing and processing
- Office Supply Management
o Manage all office leases and keep track of termination & renewal dates
o Manage relationships with building, custodial, and supply managers and troubleshoot, when necessary, with support from the Communications Manager
o Manage all office supply orders and vendor relationships for HQ Office and satellite offices
o Check-in bi-monthly with satellite offices for supply orders
o Ensure supply closet and cabinets are always stocked & organized
o Ensure office and kitchen areas are neat & orderly, and the Board Room accommodation station is fully stocked
o Assist with any office cosmetic projects as needed
o Assist with any office expansions or openings as needed
§ Perform furniture audits, moving logistics, and other tasks as needed
o Update TV announcements weekly
o Beer Friday
§ Purchase beer every Friday
§ Maintain kegs, beer fridge, etc., troubleshooting when necessary
- Company Retail Store (Gear Garage)
o Ensure retail store is always stocked & organized
o Assist with new designs & orders as directed by Management
o Open & assist employees with transactions twice weekly
o Ship online orders weekly
o Maintain & edit online store and backend inventory
o Assist Communications Manager with promotional materials & marketing for new items
- New Hire Onboarding, Employee Success, & Employee Engagement
o Assist HR & Employee Success with New Hire Welcome Kits
§ Mail Welcome Kits to Remote New Hires
o Assist the Recruiting & Talent Coordinator with New Hire Orientation as needed
o Coordinate Happy Hours & other welcome events with the Operations/HR Team as directed by Management
o Coordinate Welcome Packages for clients, markets, and prospects as directed by Management
o Assist with Travel as directed by Management
o Mail Shout-Out #ExtraMile gifts as directed by the Employee Success Team
o Order gifts for employees & clients, as directed by Management
o Assist with Employee Success & Employee Engagement initiatives & events
- Miscellaneous
o Assist the Communications Team with Client Impressions, Conferences & Events Supplies, etc.
o Assist HR & the rest of the Operations Team with special events, etc. t
